Job summary

American Prairie is seeking an experienced Fleet Manager to lead the full lifecycle of our fleet assets and oversee maintenance scheduling. You will manage operations, budgeting, and coordination with vendors to ensure safety and efficiency across all vehicles and equipment.

The role requires strong record-keeping, regulatory compliance, and hands-on problem-solving, with a focus on operational reliability in remote or field conditions.

Qualifications

  • 3-5+ years of fleet management experience in logistics, mechanics, or related fields.
  • Ability to oversee daily fleet operations including scheduling, utilization, and maintenance coordination.
  • Experience supervising staff, contractors, or vendors and providing feedback.
  • Knowledge of vehicle maintenance practices for gas and diesel assets.
  • Strong organizational and record-keeping skills for fleet assets.

Responsibilities

  • Manage American Prairie’s fleet operations (70%) and support infrastructure and maintenance work (30%).
  • Oversee the full lifecycle of vehicles, heavy equipment, trailers, and other gas and diesel assets.
  • Administer and maintain the fleet management system, coordinate vehicle scheduling and use, and monitor maintenance schedules.
  • Coordinate with vendors and service providers for repairs and servicing.
  • Determine and prioritize fleet work needs and maintain accurate records.
  • Ensure current registrations and maintain maintenance and safety records for insurance compliance.
  • Manage fleet maintenance budget and contribute budgeting input.
  • Develop, support, and improve fleet management programs for efficiency, safety, and cost-effectiveness.
  • Execute fleet acquisitions and disposals within guidelines and budget.
  • Monitor infrastructure rolling stock and assets and report concerns.
  • Develop and update SOPs for vehicle use, maintenance, and safety.
  • Educate team on vehicle policies and safety standards.
  • Report accidents and injuries to the Safety Manager.
  • Manage fleet insurance claims from documentation to resolution.
  • Perform basic maintenance and on-site fixes when feasible.
  • Assist with roadside troubleshooting and towing coordination.
  • Ensure vehicles and equipment are ready and clean.
  • Assist with seasonal maintenance and daily operations oversight.
  • Provide hands-on support for field needs as required.

Job description


  • Manage American Prairie’s fleet operations (70%) and support infrastructure and maintenance work (30%)

  • Oversee the full lifecycle of vehicles, heavy equipment, trailers, and other gas and diesel assets

  • Administer and maintain the fleet management system, coordinate vehicle scheduling and use, and monitor maintenance schedules

  • Coordinate with vendors and service providers for repairs and servicing

  • Determine and prioritize fleet work needs and maintain accurate paper and electronic records

  • Ensure current registrations and maintain maintenance and safety records for insurance compliance

  • Manage the fleet maintenance budget and contribute field-informed information to the budgeting process

  • Develop, support, and improve fleet management programs for operational efficiency, safety, and cost-effectiveness

  • Execute fleet acquisitions and disposals within Asset and Infrastructures guidelines and budget

  • Monitor infrastructure rolling stock and assets and report property, land, livestock, wildlife, or people concerns

  • Develop and update SOPs and practical policies for vehicle use, maintenance, safety, and daily operations

  • Educate team members on vehicle policies, procedures, and safety standards

  • Report accidents, injuries, damage, and near misses to the Safety Manager

  • Manage fleet vehicle insurance claims from incident documentation through resolution

  • Perform basic maintenance, troubleshoot minor mechanical issues, and provide on-site fixes when feasible

  • Assist with roadside troubleshooting and coordinate towing or other services

  • Ensure vehicles and equipment are clean, organized, and operationally ready

  • Perform infrastructure and asset projects, seasonal maintenance, building checks, and repairs

  • Assist with daily operations oversight of seasonal technicians as needed


Requirements


  • Ability and willingness to positively represent American Prairie’s mission, goals, values and culture

  • 3-5+ years of experience in fleet management, logistics, mechanics, or related fields

  • Demonstrated ability to oversee daily fleet operations, including scheduling, utilization, and maintenance coordination

  • Experience supervising staff, contractors, or vendors, including assigning work and providing feedback

  • Working knowledge of vehicle and equipment maintenance practices, including gas and diesel assets

  • Familiarity with safety standards, inspections, and regulatory compliance related to fleet operations

  • Strong organizational skills with the ability to prioritize repairs, maintenance and competing operational needs

  • Experience maintaining accurate records for fleet assets, including maintenance logs, registrations, and usage tracking

  • Ability to troubleshoot issues, make timely decisions, and elevate more complex problems as needed

  • Strong communication skills, with the ability to provide clear direction and coordinate across teams

  • Proficiency with fleet management systems, word order tracking or similar tools

  • Proficient use of technology including hardware and software for email, texting, calendars, time tracking, mapping, and data management systems

  • Willingness and ability to contribute to hands‑on support with fleet maintenance and field needs as required

  • Ability to use chemicals and cleaning products and tools such as disinfectants, degreasers, solvents, brooms, and vacuums

  • Proficient with hand tools and power tools

  • Ability to physically exert self, complete repetitive weight‑bearing labor such as shoveling, and lift and carry up to 50 pounds or more with assistance

  • Physical mobility and dexterity including the ability to walk, stand, squat, kneel, bend, stoop, reach and handle

  • Ability to operate 4WD trucks, skid steers, trailers, other farm and ranch equipment, and off‑road vehicles

  • Ability to drive long distances alone in remote areas and navigate unmaintained or potentially hazardous roads in varied conditions such as mud, ice and snow

  • Ability to travel outside of Lewistown on a regular basis

  • Valid driver’s license and acceptable driving record

  • Preferred: 4+ years in a similar role

  • Preferred: Experience with Esri and Salesforce

  • Preferred: CDL
