Job summary

Air Around the Clock, serving South Florida, seeks a Fleet Manager to own day-to-day vehicle fleet operations, safety, and readiness. You will manage a high-volume fleet of service vans and trucks, coordinating preventive maintenance, repairs, and fuel and vendor relations to keep technicians productive.

The role requires attention to detail, accountability, and the ability to thrive in a fast-paced field-service environment where vehicle uptime directly impacts business operations.

Qualifications

• Ensure vehicles are available, properly equipped, registered, insured, maintained, and ready for new and existing field employees.
• Manage the daily operations of a high-volume fleet of company vehicles.
• Develop and maintain a comprehensive preventive maintenance program.
• Coordinate vehicle repairs with minimal downtime.
• Track vehicle availability, maintenance history, and fleet utilization.
• Maintain relationships with dealerships, repair facilities, and fleet vendors.
• Monitor fuel usage, idle time, mileage, and fleet expenses.
• Utilize fleet management/telematics systems to monitor location, driver behavior, and maintenance.
• Establish and monitor fleet KPIs such as cost per vehicle, cost per mile, downtime, preventive maintenance compliance, fuel consumption, accident frequency, repair costs, and vehicle utilization.
• Coordinate vehicle purchasing, onboarding, upfitting, branding, and retirement.
• Maintain accurate vehicle documentation.
• Forecast vehicle needs with Operations and leadership.
• Ensure new hires have prepared vehicles.
• Conduct regular fleet inspections for cleanliness and safety.
• Hold employees accountable for vehicle condition and safety.
• Review accidents and safety trends; recommend corrective action.
• Develop safety training with HR and leadership.
• Conduct safety audits and participate in safety meetings.
• Maintain records related to incidents, inspections, and corrective actions.
• Identify trends to reduce future risk.
• Support compliance with DOT, OSHA, state, local, insurance requirements.
• Respond to urgent vehicle issues and after-hours fleet emergencies.

Responsibilities

As our company continues to grow, so does our fleet of service vehicles supporting HVAC, plumbing, electrical, and other field operations. We are seeking an experienced, highly organized, and proactive Fleet Manager to take ownership of the day-to-day management, safety, maintenance, compliance, and readiness of our company vehicle fleet. This is a hands-on position requiring someone who can successfully manage a high volume of vehicles and drivers, stay ahead of maintenance and registration requirements, monitor driver safety, coordinate repairs, and ensure vehicles are available and ready to support our technicians and new hires. The ideal candidate is detail-oriented, accountable, responsive, and comfortable working in a fast-paced field-service environment where vehicle downtime directly impacts business operations.

Requirements

• Ensure vehicles are available, properly equipped, registered, insured, maintained, and ready for new and existing field employees.
• Manage the daily operations of a high-volume fleet of company vehicles, including service vans, trucks, and other company-owned vehicles.
• Develop and maintain a comprehensive preventive maintenance program based on mileage, vehicle usage, manufacturer recommendations, and operational needs.
• Coordinate vehicle repairs and maintenance while minimizing technician downtime and disruption to customer service.
• Track vehicle availability, downtime, maintenance history, repair frequency, mileage, and overall fleet utilization.
• Manage relationships with dealerships, repair facilities, maintenance providers, towing companies, fuel providers, rental companies, and other fleet vendors.
• Review vendor pricing and repair recommendations to identify cost-saving opportunities without compromising vehicle reliability or safety.
• Monitor fuel usage, excessive idling, mileage, vehicle utilization, and other fleet expenses.
• Utilize fleet management and/or telematics systems to monitor vehicle location, driver behavior, mileage, maintenance needs, and fleet performance.
• Establish and monitor fleet KPIs including cost per vehicle, cost per mile, downtime, preventive maintenance compliance, fuel consumption, accident frequency, repair costs, and vehicle utilization.
• Develop vehicle replacement recommendations based on age, mileage, maintenance history, reliability, operational requirements, and total cost of ownership.
• Coordinate vehicle purchasing, onboarding, upfitting, branding, assignment, reassignment, and retirement/disposal.
• Maintain accurate vehicle documentation, including registrations, insurance records, maintenance records, inspections, assignments, and related fleet documentation.
• Work closely with Operations and leadership to forecast vehicle needs based on hiring and company growth.
• Manage vehicle assignments during onboarding and ensure new field employees have properly prepared vehicles when they enter the field.
• Conduct regular fleet inspections to ensure vehicles meet company cleanliness, organization, equipment, and safety standards.
• Hold employees accountable for vehicle condition, safe driving practices, required inspections, and company fleet policies.
• Review accidents, incidents, driver safety trends, and vehicle damage and recommend corrective action when necessary.
• Partner with HR and leadership to develop and deliver safety training and reinforce company safety expectations.
• Conduct safety audits and participate in safety meetings and initiatives.
• Maintain accurate records related to incidents, accidents, inspections, and corrective actions.
• Identify trends within accident reports, driver behavior, vehicle damage, and safety metrics to reduce future risk.
• Support compliance with applicable DOT, OSHA, state, local, insurance, and company safety requirements, as applicable to the fleet.
• Respond to urgent vehicle issues and after-hours fleet emergencies by phone when necessary.
• Other duties as assigned.

Schedule

This is a full-time, on-site position with a typical schedule of Monday through Friday, 8:00 AM–5:00 PM. The Fleet Manager must also be available by phone after hours when urgent vehicle or fleet situations arise.
