Job summary

Cox Fleet is hiring a Fleet Services Coordinator II to support billing and maintenance scheduling for fleets across markets. The role emphasizes customer service, cross-functional collaboration, and accurate documentation in Cox Fleet IT systems.

The ideal candidate will have a HS diploma or GED with relevant experience, strong Excel/data-entry skills, and the ability to manage multiple tasks while maintaining professional communication across teams.

Qualifications

• HS diploma or GED with 3 years in a related field, or a different combination with equivalent experience.
• Excellent verbal and written communication; ability to collaborate cross-functionally.
• Strong organizational skills and multi-tasking abilities.
• Proficient in Excel and data entry; able to learn Cox Fleet IT systems.

Responsibilities

• Assist with the billing process in all markets in area
• Manage the follow up maintenance transactions lifecycle from origination until the customer unit is in control/custody of the repair technician
• Timely and accurate documentation and notation in all Cox Fleet systems regarding each customer contact
• Provide excellent customer service for all internal and external customer calls
• Be professional and establish positive customer rapport
• Obtain customers approval for repairs and services to be performed
• Proactively contact customers to schedule preventative maintenance at regular intervals, driving repeat business
• Partner and communicate with Field Operations to schedule technicians to accounts for a positive customer experience
• Encourage customers to schedule repairs and maintenance in advance, creating a pipeline of work for each technician
• Continuously develop and improve Dispatching and Service Scheduling capabilities
• Additional duties and special projects as assigned

Duties & Responsibilities

• Assist with the billing process in all markets in area

• Providing excellent customer service for all internal and external customer calls

• Continuously develop and improve company capabilities in Dispatching and Service Scheduling
• Additional duties and special projects as assigned

Requirements

• High School Diploma/GED and 3 years' experience in a related field. The right candidate could also have a different combination, such as any level degree/certification beyond a HS diploma/GED in a related discipline and up to 1 year of experience; or 5 years' experience in a related field
• Excellent verbal and written communication skills; Ability to effectively communicate at all levels of the organization.
• Proven track record to collaborate cross-functionally, build positive relationships and become a trusted partner to relevant cross functional partners.
• Excellent organizational skills and the ability to balance a variety of tasks.
• Strong Excel and data entry skills, and the ability to learn new platforms (such as Cox Fleet IT Systems, including Web Wrench, MobileFrame, RO Writer)
• Common knowledge of the trucking industry; experience with fleet maintenance or other transportation experience in automotive/trucking would be very helpful.
• Ability to work independently and collaboratively within a team environment.
• Excellent problem-solving skills
• Highly organized with exceptional follow-through abilities

USD 21.83 - 32.79 per hour

Compensation

Hourly pay rate is in the range of $21.83 - $32.79/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.

Benefits

Employees are eligible to receive a minimum of 6.67 hours of paid time off every month and seven paid holidays throughout the calendar year. Employees are also eligible for additional paid time off in the form of bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, and parental leave.
