Job summary

Dynamic EcoHome seeks a decisive Fleet & Asset Manager to own our fleet and asset-management function across Dallas–Fort Worth and Houston. You will build standards, drive governance, and own outcomes for ~60 vehicles and related assets.

This role requires experience building fleet systems, strong supplier negotiations, and a track record of cost control, safety, and regulatory compliance in a multi-site environment.

Dynamic EcoHome is seeking a decisive, highly accountable Fleet & Asset Manager to build and own our fleet and asset-management function across Dallas-Fort Worth and Houston.

This is not a maintenance-scheduling or administrative fleet position. We are looking for a function builder who can assess the current operation, identify weaknesses, establish clear standards, implement scalable systems, and take full ownership of results.

The Fleet & Asset Manager will oversee approximately 60 company vehicles, along with tools, trailers, rental equipment, and other operational assets. This person will own fleet strategy, vehicle readiness, preventive maintenance, regulatory compliance, driver accountability, accident response, vendor performance, cost management, asset controls, and lifecycle planning.

This is an individual-contributor role with no direct reports. However, the position carries significant functional authority and will work across Operations, Safety, Finance, HR, Warehousing, Installation, and Service. Success requires the ability to influence others, enforce standards, make sound decisions quickly, and bring structure to a fast-growing operation.

Key Responsibilities

Fleet Strategy and Function Development

• Evaluate the current fleet and asset operation, identify gaps, and develop a scalable regional fleet-management strategy.
• Build the policies, systems, controls, reporting, and operating standards required to support continued growth.
• Establish clear accountability for vehicle assignments, maintenance, driver behavior, accidents, tools, rentals, and equipment.
• Create consistent fleet and asset processes across Dallas-Fort Worth and Houston.
• Develop short-term and long-term fleet plans based on utilization, geographic expansion, cost, risk, and operational demand.
• Present leadership with clear recommendations supported by data, financial impact, and operational priorities.
• Take ownership of problems from identification through final resolution.

Fleet Readiness and Performance

• Own the safety, readiness, availability, condition, and utilization of approximately 60 company-owned, leased, and rented vehicles.
• Develop and enforce preventive maintenance, inspection, registration, emissions testing, recall, repair, and replacement schedules.
• Identify and address fleet risks before they disrupt field operations.
• Monitor vehicle condition, mileage, utilization, fuel consumption, repair history, driver behavior, and total operating costs.
• Coordinate vehicle assignments, transfers, and deployment between Dallas-Fort Worth and Houston.
• Establish and track fleet-performance metrics, including uptime, maintenance compliance, utilization, cost per vehicle, accident frequency, and repair turnaround time.
• Respond decisively to breakdowns, vehicle damage, towing needs, and other urgent fleet issues.
• Maintain accurate, current, and audit-ready fleet records.

Safety, Compliance, and Driver Accountability

• Ensure fleet operations comply with applicable U.S. Department of Transportation, FMCSA, Texas, insurance, and company safety requirements.
• Maintain complete records for registrations, titles, inspections, insurance, maintenance, warranties, recalls, accidents, and repairs.
• Verify that employees operating company vehicles meet applicable licensing and company requirements.
• Use telematics and driver-performance data to identify speeding, harsh braking, excessive idling, unauthorized use, unsafe behavior, and other risk indicators.
• Work with Operations, Safety, and HR to address unsafe driving, policy violations, preventable accidents, and recurring performance issues.
• Build and maintain clear policies for vehicle use, driver expectations, accident reporting, preventive maintenance, fuel use, and asset accountability.
• Hold operators and business leaders accountable to established fleet standards across both markets.

Accident, Claims, and Risk Management

• Serve as the primary company owner for vehicle accidents, breakdowns, damage, towing, and roadside emergencies.
• Establish a consistent accident-response and escalation process.
• Coordinate accident documentation, insurance notifications, repair estimates, rental vehicles, body-shop work, and return-to-service timelines.
• Manage incidents from initial notification through final resolution.
• Analyze accident and claims trends to identify preventable risks and recommend corrective action.
• Partner with insurance, legal, HR, Safety, and Operations as needed.
• Reduce financial exposure through accurate documentation, fast response, stronger controls, and proactive risk management.

Vendor and Financial Management

• Build and manage a reliable vendor network across Dallas-Fort Worth and Houston, including mechanics, dealerships, body shops, towing companies, rental providers, and equipment suppliers.
• Negotiate pricing, service expectations, turnaround times, warranties, and preferred-vendor agreements.
• Challenge unnecessary expenses and verify that recommended repairs are justified, competitively priced, and completed properly.
• Track vendor responsiveness, quality, cost, and overall performance.
• Develop fleet budgets, forecasts, replacement plans, and capital recommendations.
• Identify measurable opportunities to reduce fuel, maintenance, rental, repair, insurance, and replacement costs.
• Provide leadership with visibility into current spending, upcoming needs, financial risks, and projected investments.

Vehicle and Asset Lifecycle Management

• Own the complete lifecycle of company vehicles and operational assets, from acquisition through disposal.
• Develop objective criteria for purchasing, leasing, renting, repairing, replacing, reassigning, and selling assets.
• Coordinate approved purchases and sales through dealerships, Enterprise, approved online marketplaces, and other authorized channels.
• Order and coordinate rental vehicles and equipment in response to operational demand.
• Maintain accurate records of vehicle specifications, costs, warranties, condition, location, assignment, and replacement timelines.
• Identify and address underutilized, unreliable, or unnecessary assets.
• Build a forward-looking replacement plan to reduce emergency purchases and unplanned operational disruptions.

Tools, Equipment, and Asset Controls

• Build an accountable system to assign, track, transfer, maintain, recover, and dispose of company tools and equipment.
• Maintain accurate records of asset ownership, location, assignment, condition, loss, damage, and return.
• Conduct periodic physical audits and reconcile findings against company records.
• Investigate missing, damaged, or unreturned assets and drive issues through resolution.
• Partner with Warehouse and Operations to ensure teams have the equipment required to perform their work safely and efficiently.
• Establish controls that reduce asset loss, duplicate purchases, misuse, and unnecessary rentals.

Reporting and Executive Communication

• Develop dashboards and recurring reports covering fleet availability, maintenance compliance, utilization, accidents, driver performance, costs, vendor performance, and asset accountability.
• Communicate risks early and provide recommended solutions, required decisions, and expected financial impact.
• Use data to challenge assumptions and improve fleet decisions.
• Maintain reliable records and ensure leadership has accurate information when making operational and capital decisions.
• Report progress against defined goals and remain accountable for measurable outcomes.
• Escalate issues with clarity, urgency, and a recommended course of action.

First-Year Priorities

The Fleet & Asset Manager will be expected to:

• Complete a comprehensive assessment of the current fleet, vendors, tools, systems, records, costs, risks, and operating practices.
• Create a centralized and reliable source of truth for all vehicles, drivers, tools, equipment, maintenance, accidents, and expenses.
• Eliminate overdue maintenance, registration, inspection, recall, and documentation issues.
• Establish standardized fleet and asset policies for Dallas-Fort Worth and Houston.
• Implement measurable fleet-performance standards and executive reporting.
• Improve vehicle uptime and repair turnaround time.
• Strengthen driver accountability and accident-response procedures.
• Reduce unnecessary repair, rental, fuel, and replacement costs.
• Build a multiyear vehicle and equipment replacement plan.
• Create an operating model that can expand into additional markets without rebuilding the function from the beginning.

Required Qualifications

• Seven or more years of progressive fleet, equipment, transportation, automotive-service, field-operations, or asset-management experience.
• Demonstrated experience independently owning a fleet or fleet-management function.
• Experience supporting a multi-location fleet in a fast-paced operational environment.
• Proven ability to build or significantly improve fleet systems, policies, reporting, controls, and operating processes.
• Strong knowledge of preventive maintenance, vehicle inspections, accident management, repairs, fleet compliance, and asset lifecycle planning.
• Experience using telematics, GPS tracking, fleet-management software, and driver-monitoring platforms.
• Demonstrated success negotiating with vendors and reducing fleet-related costs.
• Experience managing fleet budgets, vehicle acquisition, leasing, rentals, and asset disposal.
• Strong business judgment and the ability to make timely decisions without constant direction.
• Ability to hold others accountable, address difficult issues directly, and maintain standards across departments.
• Strong analytical ability with advanced proficiency in Microsoft Excel or Google Sheets.
• Ability to communicate effectively with operators, technicians, vendors, insurance representatives, and executive leadership.
• Valid driver’s license with an acceptable driving record.
• Ability and willingness to travel regularly between Dallas-Fort Worth and Houston.
• Ability to inspect vehicles and equipment and work periodically in warehouse, outdoor, and field environments.
• Availability to respond to occasional after-hours fleet emergencies.

Preferred Experience

• Experience managing or supporting a fleet of 100 or more vehicles.
• Experience within solar, HVAC, electrical, construction, home services, utilities, telecommunications, delivery, equipment rental, or another field-service environment.
• Experience managing service vans, pickup trucks, trailers, specialty equipment, and company tools.
• Strong working knowledge of DOT and FMCSA requirements.
• Experience implementing or replacing fleet-management and telematics systems.
• Experience supporting geographic expansion or integrating fleet operations across multiple locations.
