Job description

Job Summary:

Fleet Manager owns the financial governance, compliance, and strategic management of the company’s vehicle fleet. This role is responsible for fleet P&L ownership, budgeting and forecasting, financial modeling, and executive reporting, while ensuring compliance with DOT, safety, insurance, and regulatory requirements. The position partners closely with Finance, Operations, Safety, HR, and Legal to drive cost‑effective fleet procurement, risk mitigation, system oversight, and data‑driven decision‑making across the organization.

Responsibilities:
  • Own the fleet P & L and cost structure, ensuring accurate allocation of vehicle‑related costs to divisions, branches, and general ledger accounts.
  • Partner with Finance and Accounting on fleet budget development, forecasting, accruals, journal entries, month‑end close activities, and divisional variance and cost‑to‑budget reporting.
  • Develop and maintain financial models and analytics to evaluate fleet utilization, total lifecycle costs, and optimal vehicle replacement timing.
  • Translate fleet data and financial trends into actionable insights and recommendations for senior leadership.
  • Oversee fleet compliance related to DOT regulations, driver qualification requirements, vehicle safety standards, insurance, claims, and legal documentation.
  • Collaborate with Safety to manage driver compliance programs, reporting processes, and audit readiness.
  • Partner with HR and Safety to maintain fleet‑related policies, controls, and standards with consistent application across the organization.
  • Work closely with Safety and Legal teams to address incidents, claims, corrective actions, and risk mitigation efforts.
  • Lead vehicle procurement strategy, including negotiation with OEMs, upfitters, and fleet leasing partners while evaluating total cost of ownership, pricing models, and contract terms.
  • Serve as the primary point of contact for fleet leasing providers and key external vendors.
  • Evaluate, select, and manage third‑party fleet service providers to ensure performance and cost effectiveness.
  • Support acquisition integration by onboarding acquired vehicles into company standards, policies, and financial systems.
  • Collaborate closely with Operations leadership to align vehicle inventory levels with business demand, address inefficient vehicle usage, and ensure adherence to fleet standards and replacement policies.
  • Lead and manage high‑stakes discussions related to vehicle assignments, cost overruns, and compliance gaps using data and policy‑based guidance.
  • Balance operational priorities with financial discipline, governance requirements, and risk management objectives.
  • Manage fleet systems including fuel card programs, GPS and telematics platforms, and fleet reporting tools.
  • Review, approve, and reconcile fleet‑related invoices and vendor billing to ensure accuracy and cost control.
  • Resolve vendor billing discrepancies and disputes in a timely and effective manner.
  • Prepare and deliver executive‑level reports and dashboards for Finance, Safety, and Operations leadership.
  • Other duties as assigned.
Required Qualifications:
  • Minimum of a high school diploma.
  • Minimum 3+ years of experience in fleet administration, fleet finance, asset management, or a finance‑heavy role with fleet exposure.
  • Minimum 3+ years of experience working closely with Finance and Accounting functions, including budgeting, forecasting, and cost allocation.
  • Strong proficiency in Microsoft Excel, including pivot tables and complex formulas; financial modeling experience required.
  • Working knowledge of fleet leasing structures, DOT and driver compliance requirements, and asset lifecycle and depreciation concepts.
Preferred Qualifications:
  • Bachelor’s degree in Finance, Accounting, Business, or a related field.
  • Minimum 5+ years of experience in fleet finance, asset management, or enterprise‑level fleet governance roles.
  • Experience supporting large, geographically dispersed fleets across the U.S. and Canada.
  • Experience leading or significantly contributing to fleet procurement negotiations and vendor contract management.
  • Strong experience with telematics, fuel management, or fleet reporting systems.
  • Demonstrated experience presenting financial insights and recommendations to senior or executive leadership.
  • Experience supporting M&A activity or fleet integration following acquisitions.
Physical Demands:

Must be able to effectively communicate (see, hear, speak and write clearly) in order to communicate with colleagues and/or customers; manual dexterity required for occasional reaching, lifting of light office objects, and operating office equipment.

Working Conditions:

The office is clean, orderly, properly lighted and ventilated. Noise levels are considered low to moderate.
