What you’ll do
- Answer phones and greet clients in a friendly, positive, and warm manner
- Manage advisors’ calendars, including appointment scheduling and rescheduling
- Order front office supplies and keep track of inventory
- Complete and process new client applications
- Assist clients with issues and account inquiries
- Maintain the firm’s CRM system through accurate data entry and database management
- Handle the setup, closure, and transfer of client accounts accurately and efficiently
- Monitor and track pending service work, ensuring clients receive personalized update calls regarding the progress of their requests
- Coordinate seminar pre‑registration processes and provide onsite assistance during client events
- Assist the team with various administrative duties and tasks
What We’re Looking For
- High school diploma
- 1+ years’ experience in a busy office environment
- Prior experience in the financial industry is a plus
- Embraces change and adapts quickly to evolving processes
- Collaborative team player willing to assist others
- Demonstrates exceptional organizational skills by efficiently managing multiple requests and prioritizing time‑sensitive tasks
- Exhibits meticulous attention to detail and a commitment to accuracy
- Skilled in building strong, trust‑based relationships with clients by providing attentive, personalized service and guidance
- Self‑starter who takes initiative and works well independently
- Demonstrates strong integrity and a commitment to ethical conduct, especially when handling confidential client information and financial matters
