Jackson Area Transportation Authority is seeking an experienced finance administrator with strong accounting or finance background. The role includes accounts receivable, payroll, invoicing, and journal entries in a busy municipal setting.

The position requires a Bachelor’s degree in accounting or finance and a MI driver’s license, with responsibilities extending to month-end close, audits, and procurement support. On-site work in Michigan is expected.

Qualifications

  • REQUIRED: A Bachelor’s degree in accounting, finance, or related field from an accredited college or university.
  • PREFERRED: Four years of increasingly responsible accounting experience including two years of program/project management and/or management experience.
  • Possession of a valid MI driver’s license.

Responsibilities

  • Greet and assist visitors in a professional manner.
  • Screen and direct incoming calls in the administrative office.
  • Prepare Accounts Receivable invoices and balance.
  • Process and pay open invoices; record and file payments.
  • Prepare and process bi-weekly payroll, including payroll taxes and direct deposits.
  • Assist with month-end journal entries and year-end audit preparation.
  • Maintain EFT, ACH, and charge card deposit logs.
  • Distribute and maintain purchase orders.
  • Oversee vault room activities: count vaults, prepare deposits, balance daily counts.

Job description

Administrative Support
  • Greet and assist visitors in a professional manner.
  • Screen and direct incoming phone calls in the administrative office.
  • Handle customer complaints courteously and appropriately.
  • Type staff correspondence, contracts, reports, brochures, and other documents as requested.
  • Maintain and update contracts with outside organizations.
  • Retrieve, record, and distribute incoming mail and checks.
  • Act as Recording Secretary for the JATA Board of Directors.
Office Management
  • Manage the purchase of all office supplies and coordinate equipment maintenance.
Finance & Payroll
  • Prepare Accounts Receivable invoices; balance and maintain
  • Cash Receipts.
  • Process and manage ticket/pass orders, inventory, and reconciliation.
  • Oversee all vault room activities:
  • o Empty and count bus/van vaults daily.
  • o Prepare weekly bank deposits.
  • o Balance daily vault counts.
  • Prepare and process bi-weekly payroll, including:
  • o Payroll taxes, deductions, and direct deposit.
  • o Quarterly and annual payroll tax filings.
  • o Preparation and filing of 1099 forms.
  • Process and pay open invoices; record and file check payments.
  • Maintain EFT, ACH, and charge card deposit logs.
  • Distribute and maintain purchase orders.
  • Assist with month-end journal entries.
  • Support year-end audit preparation.
Employee Benefits Management

Reconcile accounts related to payroll and employee compensation.

Other Duties
  • Complete special projects as assigned by the Finance Director or Executive Director.
Minimum Qualifications

Education and Experience:

  • REQUIRED:
    A Bachelor’s degree from an accredited college or university with major course work in accounting, finance, or a field or discipline related to the assigned program area.
  • PREFERRED: Four years of increasingly responsible accounting related experience including two years of program/project management and/or management experience equivalent to scope of assigned projects.
License or Certificate:

Possession of a valid MI driver’s license.

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

Ability to:

  • Proficiency in Microsoft Word and Excel.
  • Experience in finance and/or accounting.
  • Strong written and verbal communication skills.
  • General bookkeeping knowledge.
  • Familiarity with inventory management techniques.
Physical Demands/Work Environment:
  • Work is performed in a standard office environment.
  • Subject to standing, walking, bending, reaching, stooping, and lifting of objects up to 25 pounds; may occasionally be exposed to dangerous machinery, extreme weather, physical harm, and extreme noise when working out of the office at bus yards and other off sight locations.
