Job description

Position Overview

Financial and Administrative Officer for the Departments of Creative Writing, Dance, Music, Theatre, Film and Digital Production, Palm Desert Low‑Residency MFA, the University Theater, and the Performing Arts Administration (PAA). Reports to the Divisional FAO for CHASS with a dotted line to the four Department Chairs/Program Directors.

Oversee daily operations of the four independently operated academic units, including managing access control, payroll, reconciliation, reporting, budget approvals for the Palm Desert Low‑Residency MFA, payroll review, and purchasing approvals for the University Theater. Also coordinate an administrative support unit that handles financial, human resources, academic support, contracts and grants, and facilities management.

Responsibilities
  • Manage access control to all spaces.
  • Oversee payroll and reconciliation processes.
  • Prepare financial reports and budget approvals.
  • Approve purchases and contracts.
  • Supervise administrative support staff (financial, HR, academic, contracts and grants, facilities).
  • Ensure compliance with university, university system, and legal policies.
  • Develop and implement policies and procedures.
Education & Experience
  • Bachelor's degree in a related field or equivalent experience.
  • 6–10 years of related experience.
  • Experience with budget development and management using online financial, payroll, personnel, and purchasing systems; contract and grant administration.
  • Management experience in an academic environment.
  • Prior supervisory or managerial experience is preferred.
Minimum Qualifications
  • Solid knowledge of organizational processes, protocols, and procedures focusing on budget, account and fund management and personnel management within labor contracts.
  • Financial analysis and reporting skills; HR and risk management planning.
  • Employee supervision and HR administration proficiency.
  • Strong interpersonal, verbal and written communication, active listening, critical thinking, and advising skills.
  • Computer proficiency in common organization‑specific and other applications, including Microsoft Office and online accounting and database systems.
  • Ability to evaluate complex issues, identify resolutions, and develop policies and procedures.
  • Exceptional written communication and business correspondence skills.
  • Independent work, confidentiality, and ability to manage multiple tasks and timelines.
  • Knowledge of employment laws, union contracts, and UC personnel policies.
  • Extensive experience with Microsoft Office and desktop/web applications related to online accounting and database management.
Preferred Qualifications
  • In‑depth knowledge of university policies, procedures, and common practices.
  • Experience processing all financial transactions on UCRFS and appropriate feeder systems.
  • Work experience in the disciplines of Creative Writing, Dance, Music, Theatre, Film and Digital Production, and/or Performing Arts.
Compensation

Salary range: $84,100 – $154,700 annually. Salary offers are based on education, licensure, certifications, experience, and business needs.
