Job summary

Infinity Marketing Team is seeking a Finance Project Coordinator to manage the financials of experiential marketing projects. You will oversee revenue recognition, reporting, forecasting, and contract compliance, acting as the liaison on complex projects with contract and pricing oversight.

Responsibilities include budgeting, client reporting, invoicing coordination, and ensuring timely financial close across multiple campaigns.

Qualifications

• Bachelor's degree in Finance or Accounting; two years of finance or accounting experience preferred.
• Advanced Microsoft Office skills.

Responsibilities

• Communicate with internal project teams regarding budgets, billing, and accounts receivable issues.
• Maintain catalog of required client reporting and ensure timely completion.
• Support project teams in building and entering client budgets and responding to RFPs.
• Ensure projects are managed in accordance with contracts; create summary sheets for teams.
• Assist with monthly project budget to actual tracking and client reporting.
• Review scopes and staffing plans; escalate finance issues as needed.
• Review monthly fee and expense details; explain variances to budget or forecast.
• Prepare management reports and highlight areas of concern and improvement suggestions.

AbouttheRole

The Finance Project Coordinator is responsible for financial management of experiential marketing projects including oversight of revenue recognition, financial reporting, forecasting, and process compliance. The Project Finance Coordinator will function as the Business liaison on larger or more complex projects or clients including contract and pricing negotiations (with oversight).

KeyResponsibilities:

• Supportprojectteamsinbuildingandenteringclientbudgets,respondingtoRFP'sanddevelopingbudgets(withoversight)
• Ensurethatprojectsaremanagedinaccordancewithcontracts;createsummarysheetsforaccountandprojectteams
• Ensurewrittenclientagreementsareobtained(viacontract,letterofagreement,signedSOW,etc.)forallworkandareappropriatelyarchivedandclassified.LiaisewithContractSpecialistsandLegal.
• Assistprojectteamswithmonthlyprojectbudgettoactualtrackingandotherrequiredclientreporting
• Reviewandapprovescopesandstaffingplans;escalateissuestofinanceleadasappropriate.
• Reviewmonthlyfeeandexpensedetails.Analyzeaccuracyandexplainsignificantvariancestobudgetorforecast
• Preparemanagementreportsandidentifyandcommunicateareasofconcernandsuggestedimprovementstoprojectstaffandmanagement(e.g.,clientprofitability,utilization,over/underservice,missingtime,revenueriskandstaffingplans)
• Facilitatemonthlybillingliaisonbetweenprojectteamandfinance/accountingdepartmentandreviewbillingreports
• Reviewtimeandexpensewrite-offsandunbilledWIP
• Workwithprojectteamtominimizeriskexposuresurroundingaccountsreceivablesandcreditrequirementsofclients
• AccountablefortimelyandvaluableARcollectionstatuscommentaryandliaisonwithAccountsReceivable
• Superviseprojectsetupprocessforprojectteamandperformfinanceliaisonroleforlargerormorecomplexprojects.
• Driveprofitabilitybyworkingwithaccounts,production,andmanagement

Qualifications
