Job summary

The Waldwin Group in Boston is seeking a Finance & Payroll Assistant to support weekly payroll, verify hours, adjust entries, and maintain PTO balances, while assisting with accounts payable and monthly reconciliations.

The role requires a Bachelor's degree in a related field and 2+ years payroll/AP experience, strong Excel skills, and proficiency with QuickBooks and Paylocity; detail-oriented, organized, and able to handle confidential data in a fast-paced environment.

Qualifications

  • Bachelor's degree in accounting/finance/business or related field preferred; equivalent experience will be considered.
  • 2+ years of experience in payroll, accounts payable, accounting support, or related function.
  • Proficiency in QuickBooks or accounting system; experience with Paylocity or comparable HRIS/payroll platform is strongly preferred.
  • Strong Microsoft Excel skills with ability to learn new technology and automation.
  • Exceptional attention to detail with professionalism and discretion when handling confidential information.
  • Excellent organizational and time management skills with ability to prioritize multiple deadlines in a fast-paced environment.

Responsibilities

  • Support payroll processing by verifying employee hours, deductions, adjustments, and payroll accuracy.
  • Partner with the payroll team to prepare and process weekly payroll.
  • Process payroll-related transactions including returned pay, garnishments, vacation payouts, and employee termination.
  • Maintain and reconcile PTO balances and employee requests.
  • Manage Accounts Payable by entering vendor invoices, processing payments, and maintaining AP aging reporting.
  • Review daily cash and sales reports and assist with month-end financial reconciliation.
  • Provide ongoing administrative support and financial reports to the Leadership Team.
  • Complete assigned Time & Labor reviews as part of HR and payroll oversight.
  • Utilize and continuously improve business systems including Paylocity, QuickBooks, CrunchTime, Orackle, R&A, POS Administration.

What We’re Looking
  • Bacherlor's Degree in Accounting, Finance, Business, or a related field preferred; equivalent experience will be considered.
