Job Summary:
Desert Sage High School is seeking a highly organized and detail-oriented Finance and Grants Manager to oversee the school’s financial operations, grants management, human resources, and regulatory compliance. This role is pivotal in ensuring the financial health of the school while supporting its mission through effective management of resources and adherence to statutory obligations.
Key Roles and Responsibilities:
School Finances
- Manage day-to-day financial operations, including budgeting, forecasting, reporting, and cash flow management
- Prepare monthly, quarterly, and annual financial reports for the school leaders and board
- Oversee accounts payable, accounts receivable, payroll processing, and bank reconciliations
- Develop and monitor internal financial controls to safeguard the school’s assets
- Collaborate with auditors during annual audits and implement audit recommendations
- Oversee 1099s, W-2s, and taxes for both payroll submission and annual tax return
- Oversee financials to lenders and oversight agencies, purchasing, and contracts.
Grants Management
- Oversee the financial management, compliance, and programmatic areas– such as, but not limited to, the implementation and tracking of grant programs, EMAC, and the reporting of all grants awarded to the school
- Monitor grant budgets, expenditures, time and effort, and fund allocations to ensure alignment with grant conditions and approved activities
- Ensure timely preparation and submission of financial reports and supporting documentation to funders as per grant agreements
- Maintain accurate and organized records for all grants, including contracts, financial reports, correspondence, and audit documentation
- Serve as the primary liaison with funders regarding financial compliance, reporting schedules, and audit inquiries
- Support program staff in understanding grant budgets and financial requirements.
Human Resource Management
- Oversee HR functions including onboarding, contracts, payroll, and staff benefits administration
- Maintain accurate and confidential employee records in compliance with labor laws
- Ensure staff performance reviews and professional development records are up-to-date
- Support school leadership in handling employee relations, policy interpretation, and disciplinary procedures
- Stay current with employment legislation and HR best practices
- Ensuring compliance with retirement accounts, tax accounts and benefits programs (for future depending on any other benefits added above ASRS)
Compliance
- Ensure timely and accurate reporting and submissions to the Arizona Department of Education, the Arizona State Board for Charter Schools, and other oversight bodies
- Monitor and maintain compliance records, including financial, HR, and grant documentation as required by state and charter regulations
- Stay updated on compliance requirements, deadlines, and policy changes affecting charter school operations in Arizona
- Prepare and submit all required reports, including budgets, financial reports, audits, and grant submissions in accordance with applicable guidelines.
Qualifications and Skills:
- Bachelor’s degree in Finance, Accounting, Business Administration, or related field (CPA/ACCA certification preferred)
- At least five (5) years of financial management and audit experience, ideally within an educational and nonprofit environment
- Knowledge of Arizona Department of Education, Arizona State Board for Charter Schools, and ADE Grants Management financial compliance requirements
- Strong proficiency in financial reporting, grant fund management, and HR operations
- Excellent organizational, analytical, and communication skills
- Proficiency in accounting software and grants management systems
- High level of integrity and discretion in handling sensitive financial and personnel information.
