Job summary

Sisters of Charity of Leavenworth seeks an Accounting Administrative Assistant to support the Finance Office. You will assist with accounting tasks, purchasing, and administrative duties while ensuring confidentiality and accuracy.

Position Summary:

Enhance the Finance Office effectiveness by providing information management and accounting support consistent with the SCL mission while conducting accounting tasks and organizing administrative duties. Provides support for the Purchasing office. Provide back up for Accounts Payable and Account Receivable when needed.

Essential Duties and Responsibilities:
  • Provides intermediate-level, essential accounting and secretarial support for the Community Treasurer and finance department.
  • Provides accounting support by assisting with routine financial tasks that include:
    • Audit preparation & compliance documentation Treasurer and Assistant work on Audit
    • Month end and year end closing activities
    • Backup for accounts payable functions
    • Prepares and makes journal entries accurately and timely
    • Utilizes accounting software to maintain and update financial records
  • Maintains strict confidentiality and safeguards sensitive information in all aspects of operations.
  • Maintainspetty cash withaccuraterecordkeeping andreceipts.
  • Sets up meetings for Committees, Board & Advisory Investment committee; both virtual and in-person meetings.
  • Under Treasurer’s supervision, preparesand distributesagendasforSCLBoard and Advisory Investment Committee, and other meetings which include:
    • Accurately records and prepares meeting minutes
    • Documents meeting discussions and action items clearly and concisely
    • Prepares and maintains detailed meeting minutes in a timely manner
  • Coordinates with Transportation for distribution of car insurance, upkeep of files for owned vehicles, and tax exemption for Community owned vehicles and property.
  • Works with co-workers to maintain and prepares the Sisters personal incometaxfiles inpreparationfor TaxConsultanttofile taxes.
  • Opens, date stamps and distributes mail.
  • Contact the Tax Consultant to set up the meetings.
  • Prepare report s, memo s, letter s, andother document s asneeded.
  • Organizes files in storage room maintaining documents according to document retention policy.

  • Assist Purchasing Administrator with tasks, including but not limited to:
    • Unpacks supplies and delivers to appropriate departments
    • Maintains supply stock and organization of stock areas
    • Label nutritional supplies as directed by Purchasing Administrator
    • Additional duties as assigned
  • Performsassignedadditionaljob-related dutiesandresponsibilities as needed.
Position Qualifications:
  • Bachelor’s degree in accounting or finance.
  • Minimum of three (3) years of relevant accounting experience.
  • Knowledge of GAAP and financial reporting principles.
  • Understanding of accounting principles and bookkeeping.
  • Experience taking board meeting minutes.
  • Experience in performing administrative andclerical dutie s preferred.
  • Proficient in Microsoft Windows, Microsoft Office Suite, including Word , and Excel.
  • Experience with QuickBooks preferred.
  • Experience with Acumatica accounting software a plus.
  • Strong organizational skills with the ability to organize and priorit i ze work tomeetdeadline s.
  • Ability to handle sensitive and confidential information with discretion.
  • Ability to work flexible hours as needed.
  • Strong verbal and written communication skills are required.
  • Excellent organizational and problem-solving skills.
  • Strong attention to detail.
  • Ability to work independently with minimal supervision.
Physical Requirements:
  • Ability to perform primarily sedentary work, including sitting and typing for extended periods of time.
  • Able to lift, carry, push, and pull up to 25 pounds.
  • Sto oops and bends when using files.
  • Finger dexterity and eye-hand coordination are necessary in operating a personal computer.
  • It requires concentrated visual attention, which must be maintained for sustained periods. Good vision and hearing acuity are required to record data and answer calls.
  • Works in a clean, well-lighted, heated, and ventilated office.
  • Deliveries can be dirty; stock rooms are not climate controlled.
  • This position is an in-office engagement. You will collaborate with a supportive team that values innovation and growth.
