Job summary

Texas Woman's University is seeking a Coordinator, Fieldwork Administration to guide students through fieldwork processes, verify graduation requirements, and communicate with certification agencies. Responsibilities include data management, site coordination, and supervision of student assistants, with occasional travel to Houston and Dallas.

Qualifications

  • High school diploma or equivalent required.
  • Five years of progressively responsible office experience, including supervision of others.
  • Valid Texas driver's license with a safe driving record.
  • Proficient in database management; familiarity with FileMaker Pro based Fieldwork Clerk Software.
  • Knowledge of occupational therapy or health care-related clinical training procedures is helpful.

Responsibilities

  • Monitors data collection and data base management for fieldwork; initiates fieldwork groups by center.
  • Tracks requisite fieldwork forms submissions according to deadlines.
  • Serves as liaison to multiple clinical supervisors and site contacts regarding fieldwork placements.
  • Contacts current and prospective fieldwork sites; follows up on scheduling and paperwork.
  • Pursues non-response situations and updates database information as needed.
  • Initiates contacts with potential sites; organizes start-up packets and agreements with university entities.
  • Tracks non-routine agreements and coordinates with General Counsel to ensure in-place student placements.
  • Assists with planning and arranging continuing education offerings for fieldwork supervisors.
  • Acts as liaison to student body on technical aspects of fieldwork in absence of Coordinator for Clinical Education.
  • Coordinates non-fieldwork tasks to meet deadlines and travels occasionally to Houston and Dallas.
  • Provides oversight to part-time staff and ensures database accuracy.
