Our General Offices serve as crucial hubs for our insurance agents and advisors throughout the country, providing them with support in various aspects of their business. We are seeking a motivated and efficient Operations Specialist to support the daily operations in one of our General Offices. This roleresideswithin our Service organization and is the first point of contact for agents and clients. In addition, theyprovide dedicated support to the local Managing Partner, handling administrative and operational responsibilities to streamline processes for Agency stakeholders. The role requires strong relationship-building skills, organizational abilities, effective communication,as well asa proactive approach to problem-solving, ensuring the smooth functioning of the organization.
Provide administrative and operational support to the Managing Partner and management team
Collaborateswith theonsite Service Leaderto ensure efficient operations
Act as a point of contact for agents, addressing their inquiries promptly and professionally
Greetand welcome visitors
Answer and direct phone inquiries
Coordinate accounts payable and receivable, including efficiently managing requests related to Agent payments,submittingoperational expenses, and reconcilingpurchase cards
Handle incoming and outgoing mail and deliveries, to include incoming correspondence distributionin accordance withregulatory guidelines
Assistwith facility management (building maintenance requests,troubleshootlocal network issues, etc.)
Manage resource assignments for new agents, ensuring their onboarding experience is smooth
Additionaladministrative duties such as controlreports, coordinating conference rooms, preparing for meetings, and handling fingerprinting for candidates
The role requires strong relationship-building skills, organizational abilities, effective communication, and a proactive approach to problem-solving, ensuring the smooth functioning of the organization.
Ideal candidate should have a minimum of 3 yearsexperienceina customerservice and/oroffice administration
Excellent written and verbal communication skills
Strong computer skills withproficiencyin the Microsoft Office Suite
Associates, or bachelor’s degree preferred, but notrequired
Customer Service Representatives receive on-the-job training to learn about the insurance industry, product and policy provisions, and transaction processing. Coaching and feedback are provided to help you gain the necessary skills to be successful.
This is a full-time onsite position Monday through Friday. Candidates should be flexible to work any 7.5-hour shift between 8:00 AM – 5:00 PM.
