Job summary

Hoffman Construction is seeking a Field Office Manager to support on-site operations in Boise, ID. You’ll manage administrative tasks, document control, payroll submission, and coordination with project teams, subcontractors, and supervisors to keep the project on schedule.

This fully on-site role requires at least one year in accounting/payroll, strong MS Office skills, and the ability to multi-task in a fast-paced construction environment.

Qualifications

  • 1 year accounting or payroll experience required.
  • 1+ year accounting and office management in construction/engineering/architecture field preferred.
  • High School diploma or GED required.
  • Strong in Windows and Microsoft Office 365 with computer networking basics.

Responsibilities

  • Manage security badging, background checks, and badge database.
  • Process subcontract billings and material invoices monthly.
  • Track drug testing and safety orientation paperwork.
  • Maintain project files, meeting minutes, diaries, and forms.
  • Type daily diaries and meeting minutes.
  • Maintain job site server correspondence and office supplies.
  • Submit hourly payroll to Craft Payroll.
  • Support additional projects and on-site tasks as needed.

Job description

Position Summary: The Field Office Manager plays a critical role in supporting construction operations by managing administrative and office functions on-site. Reporting to the Field Office Manager Director, this position works closely with the Project Superintendent, Project Manager, and subcontractors to ensure seamless project execution. The Field Office Manager is an integral member of the team’s driving efficiency, organization, and communication that significantly impact the project's success. By maintaining accurate documentation, coordinating logistics, and supporting the operations team, this role helps keep projects on track and running smoothly. To support Hoffman’s dedication to its people this position is fully onsite at our project located in Boise, ID.

Salary Range: $50,000 - $70,000 DOE + Incentives

  • Manage security badging systems including background checks, issuing badges, and maintaining the badging database.
  • Process monthly subcontract billings and all material invoices for the project.
  • Track drug testing and safety orientation paperwork.
  • Develop and maintain files, forms, purchase orders, subcontract files, meeting minutes, miscellaneous forms, etc.
  • Type the project daily diaries, meeting minutes, and other assignments.
  • Maintain job site server correspondence.
  • Maintain office supplies needed for the job.
  • Tracking and submitting hourly payroll to our Craft Payroll department.
  • Perform the responsibilities above as well as any other special projects in line with position expectations (i.e., employee lunches, running errands, etc.).

QUALIFICATIONS

Professional Experience and Education:

  • One (1) year of Accounting or Payroll, or similar experience required.
  • At least one (1) year of accounting and office management experience in the construction, engineering or architectural (or related) field required.
  • High School Diploma or GED required.

Position Related Skills:

  • Proficient in Windows and Microsoft Office 365 (Excel, Word, Outlook, Power Point and Teams), and have a general understanding of working within a computer network.
  • Working knowledge in JDE version A9.1 preferred.
  • Working knowledge in Procore or Prolog preferred.
  • Working knowledge of LCP Tracker preferred (certified payroll reporting).
  • Working knowledge of The City of Portland Workforce Training program is a plus.
  • Ability to work well and maintain a cooperative attitude through high-pressure situations.
  • Excellent time-management skills and ability to multi-task and prioritize work while frequently interrupted by phone calls and questions on work in progress.
  • Excellent written and oral communication skills with an ability to develop strong interpersonal relationships.
  • Ability to work well in a large professional setting. Patience and professionalism are essential.
  • Must be a strong team player with the ability to collaborate with various personnel within and across departments and at all levels of leadership.

Physical and Mental Requirements:

  • Standing/Walking/Sitting: workday is combination of standing, walking and sitting.
  • Must be able to climb stairs: 5% of the day.
  • Hands/Arms: constant use of hands/fingers for mouse/keyboard/computer use.
  • Sight: visual acuity in near, mid and far range vision. Color vision, peripheral vision, depth perception, hand/eye coordination.
  • Hearing: sufficient to hear conversational levels in person and over the telephone.
  • Speech: sufficient to make oneself heard in person, speak in front of groups, and be understood over the telephone.
  • Kneeling/Crouching/Crawling: minimal.
  • Constant mental alertness, accuracy, and attention to detail required.
  • Must be able to work independently, make decisions, and follow through on all assignments.
  • Must use creativity, independent judgment, and organizational and problem-solving skills to determine the best method to accomplish desired results.
  • Must be able to plan and organize work.
  • Must possess strong organizational and computer use skills and have a high level of competency to read/write/speak English, interpret construction-related documentation and communicate with coworkers.
