Job summary

State of Illinois is seeking an Office Assistant to perform clerical tasks including mail distribution, review of tax forms for accuracy, and data entry initiation. The role includes supervising temporary staff and maintaining daily records and inventories at the Springfield location.

The position requires a high school diploma and one year of office experience, with skills in alpha-numeric sequencing, grammar, arithmetic, and operation of standard office equipment.

Qualifications

  • Requires completion of high school and one year office experience.
  • Working knowledge of alpha-numeric sequencing.
  • Working knowledge of office practices, grammar, spelling and punctuation.
  • Working knowledge of basic mathematics.
  • Ability to follow oral and/or written instructions.
  • Ability to operate commonly used manual and automated office equipment and perform routine maintenance.
  • Physical ability to lift up to 50 pounds and move tubs within the division.

Responsibilities

  • Determine proper distribution of all incoming mail.
  • Review tax forms and documents for correctness, legibility and mathematical accuracy; attach supporting documents as needed.
  • Code for Data Entry and correct routine mathematical errors; route for processing.
  • Review computer-generated error briefs and reconcile with originals for maintenance actions.
  • Lead worker guidance to permanent, loaned-in and temporary clerks.
  • Maintain daily records and compile daily reports; monitor inventories.
  • Be assigned to other work areas as workload demands.

Job description

Description Of Duties/Essential Functions

Under general supervision, performs responsible and important clerical tasks including determination of proper distribution of all incoming mail; performs initial review of various tax forms and documents received for correctness, legibility and mathematical accuracy; ensures proper supporting documents are attached according to type of return; codes for Data Entry, corrects routine mathematical errors and routes for further processing; reviews computer-generated error briefs and tracks for comparison against original documents for maintenance action; reviews computer error notices to reconcile coded error messages; researches PC, microfilm and files for documentation needed for processing of tax returns; operates a Personal Computer to enter pertinent information from processing documents to initiate tracks; operates a CRT to access data from the computer systems to obtain taxpayer information to make documents processable; key enters “Stop BilIs”/track on-line to temporarily halt automated billing process while documents are being analyzed; serves as lead worker providing guidance and assistance to permanent, loaned-in and temporary Office Clerks; maintains daily records and compiles daily reports; monitors inventories and ensures work is processed in accordance with processing procedures; quality reviews processed work; assigned to other work areas on a limited basis as work load demands.


Minimum Requirements

Requires knowledge, skill and mental development equivalent to completion of high school and one year office experience; requires working knowledge of alpha-numeric sequencing; requires working knowledge of office practices, procedures and requires working knowledge of grammar, spelling and punctuation; requires working knowledge of basic mathematics; requires ability to follow orall and/or written instructions; requires ability to operate commonly used manual and automated office equipment and perform routine maintenance. Physical requirements of this position are lifting tubs of work weighing to 50 pounds and have the ability to deliver tubs to other work areas within the Division.
