Job description

Confidential Company is seeking a dependable, organized Field Coordinator to help keep active residential restoration and reconstruction projects moving from assignment through completion and closeout.

This is a hands-on coordination position for someone who can work effectively between homeowners, field technicians, subcontractors, vendors, insurance partners, third-party administrators (TPAs), and the office.

A major part of this position will involve managing residential TPA and managed-repair assignments, including the timelines, documentation, communication, field coordination, compliance requirements, and closeout procedures associated with those programs.

Primary Responsibilities

Confidential Company is seeking a dependable, organized Field Coordinator to help keep active residential restoration and reconstruction projects moving from assignment through completion and closeout.

A major part of this position will involve managing residential TPA and managed-repair assignments, including the timelines, documentation, communication, field coordination, compliance requirements, and closeout procedures associated with those programs. The Field Coordinator will also coordinate the company's other active residential restoration and reconstruction projects.

  • Coordinate assigned residential restoration and reconstruction projects from initial assignment through completion and closeout.
  • Manage residential TPA and managed-repair assignments and ensure required response times, homeowner contacts, inspections, documentation, status updates, and deliverables are completed on time.
  • Coordinate initial site inspections, technicians, subcontractors, materials, equipment, and residential project scheduling.
  • Visit active residential jobsites as needed to verify progress, workmanship, scope compliance, cleanliness, and job readiness.
  • Maintain accurate project documentation, including photographs, notes, authorizations, scopes, estimates, change documentation, homeowner communications, and completion records.
  • Keep required information current in company and third-party systems.
  • Communicate professionally with homeowners throughout the residential project and provide clear expectations regarding scheduling, progress, next steps, and outstanding items.
  • Coordinate technicians and subcontractors so they understand the approved scope, schedule, and job requirements.
  • Identify stalled residential projects, determine what is preventing progress, and drive the next required action.
  • Review field conditions against approved scopes and identify scope, pricing, coverage, safety, contractual, or homeowner issues that require additional review.
  • Work closely with administration on documentation, invoicing, collections, deductibles, homeowner balances, subcontractor invoices, and project closeout.
  • Help prevent unauthorized work, unnecessary labor, material waste, equipment overuse, and scope creep.
  • Verify subcontractor work and project completion before work is approved for payment.
  • Maintain awareness of project costs and job profitability.
  • Handle routine homeowner questions and concerns and work toward timely resolution.
  • Document unresolved homeowner concerns in writing and maintain a clear record of outstanding punch-list or completion items.
  • Ensure completed residential projects are fully closed out, including final documentation, homeowner communication, invoicing, equipment retrieval, subcontractor billing, punch items, and required TPA closeout documentation.
  • Maintain a clear, current view of each active residential project's status, next action, responsible party, outstanding documentation, outstanding money, and barriers to completion.
TPA / Managed Repair Responsibilities

Residential TPA and managed-repair assignments will be a major responsibility of this position. The Field Coordinator will be expected to learn applicable program requirements and maintain the communication, documentation, response times, inspections, status updates, field activity, quality standards, and closeout requirements necessary to keep residential assignments moving correctly.

Prior experience with residential insurance restoration, carrier programs, managed repair networks, or TPAs is strongly preferred. Candidates do not need experience with any specific TPA platform, but must be comfortable learning structured third-party systems and working within firm deadlines and documentation requirements.

Qualifications and Preferred Experience
  • Experience in residential restoration, residential water mitigation, residential reconstruction, construction coordination, insurance restoration, field supervision, or a similar contractor environment.
  • Residential TPA, managed-repair, carrier-program, or residential insurance restoration experience strongly preferred.
  • Ability to read and understand scopes, estimates, work orders, and construction documentation.
  • Ability to walk a residential jobsite and recognize incomplete work, quality concerns, scope discrepancies, and scheduling issues.
  • Strong homeowner communication and problem-solving skills.
  • Comfort communicating with homeowners, technicians, subcontractors, vendors, adjusters, and third-party program representatives.
  • Strong organizational skills with the ability to manage multiple active residential jobs and deadlines simultaneously.
  • Comfort using computers, mobile applications, estimating systems, project-management software, and third-party portals.
  • Strong written documentation habits.
  • Ability to follow problems through resolution rather than simply reporting status.
  • Understanding of job costing, scope control, documentation, invoicing, collections coordination, and project closeout.
  • Valid driver's license and ability to travel to active residential jobsites throughout the service area.
What Success Looks Like

Successful performance means new residential assignments are handled promptly, homeowners receive consistent communication, projects do not disappear into limbo, field work matches approved scope, documentation remains complete, technicians and subcontractors know what is expected, problems are identified early, outstanding items are driven toward resolution, completed residential jobs are invoiced and closed, and TPA requirements remain current.

The Field Coordinator should be able to look at any active residential project and clearly answer: Where is the job now? What needs to happen next? Who is responsible for the next action? When is it happening? What documentation or money is outstanding? What is preventing the project from closing?
