Job summary

Parents And Children Together, a statewide Hawaii-based organization, seeks a Program Coordinator to supervise office operations, manage client records, track program budgets, and coordinate funder reporting. Qualifications

Responsibilities

  • Support the agency's mission by following personnel policies and procedures.
  • Coordinate office functions including supplies, equipment, repairs and facility maintenance.
  • Assist program leadership in managing electronic client records and training staff on the system.
  • Oversee financial tasks including client fees, PO logging and mileage reimbursements.
  • Coordinate reporting for funders by collecting data for required forms.
  • Manage administrative intake and referrals, schedule assessments and orientations, assist clients in person and by phone.
  • Support quarterly case record reviews and monitor program compliance during visits and surveys.
  • Assist budget tracking and timely spend-down of funds per grant or contract requirements.

Summary of Position:

Family Peace Centers teach non-violent problem-solving skills for families struggling with adult aggression and behavioral dysfunction, emphasizing partnership, equality and respect among families.

Essential Job Functions:
  • 1. Behave in a manner that supports the agency's mission and follows personnel policies and procedures.
  • 2. Assume responsibility for the efficient and well-coordinated functioning of the office, including managing office supplies, equipment inventory, and coordinating repairs and facility maintenance
  • 3. Assist program leadership in managing the program’s electronic client record system by monitoring programmatic functions, training staff on system utilization, and ensuring the timely maintenance of accurate record keeping for appropriate quality and presentation.
  • 4. Oversee financial administrative tasks, including the collection and logging of client program fees and the reconciliation of purchase orders, travel forms, and mileage reimbursements.
  • 5. Coordinate the production and submission of contractually required reporting by identifying and collecting and inputting data needed for funder reports in conjunction with program leadership.
  • 6. Manage administrative intake and referral processes, including tracking referrals from agencies and scheduling appointments for assessments and orientations. Foster a welcoming and supportive environment by providing daily in-person and telephone assistance to clients, collecting program fees, coordinating donations, and connecting individuals with appropriate program resources and services.
  • 7. Facilitate the coordination of quarterly case record reviews to ensure program compliance and supports program leadership during monitoring visits and satisfaction survey processes
  • 8. Assist the Senior Program Director in tracking budget expenditures and ensuring the timely spend down of funds in alignment with grant or contract requirements.
Education / Training:
Experience:
  • 1. Two (2) years’ experience in an administrative or clerical position, required.
  • 2. One (1) year experience in human services, preferred.
Other:
  • 1. Must be at least 18 years old.
  • 2. Possess and maintains a valid driver’s license.
  • 3. Has daily access to an automobile.
  • 4. Possess and maintains proof of no-fault insurance.
  • 5. Can obtain an acceptable pre-hire driver’s abstract upon initial hire.
  • 6. Can obtain an acceptable Fingerprint (FBI) Background Check upon initial hire and as requested.
  • 7. Can obtain a State Criminal History check upon initial hire, one year later, and every other yearthereafter or as requested.
  • 8. Can obtain an acceptable CWS child abuse registry check upon initial hire, one year later, andevery other year thereafter or as requested.
  • 9. Can obtain an acceptable National Sex Offender registry check upon initial hire, one year later,and every other year thereafter or as requested.
  • 10. Must have a cell phone for use in emergencies at off-site locations.
