Job summary

A growing wealth management firm in Florida is seeking a highly motivated Family Office Associate. The ideal candidate will perform bookkeeping functions, communicate effectively with vendors, and maintain meticulous client records. Essential qualifications include a Bachelor’s degree in accounting and strong Excel skills, with 2+ years of accounting experience preferred. This position requires onsite work 4 days a week and offers a variety of benefits.

Qualifications

  • 2+ years’ accounting experience focusing on A/P, Journal Entries, Bank Reconciliations and Data Entry.
  • Highly motivated self-starter; independent worker.
  • Family Office Experience preferred.

Responsibilities

  • Perform basic bookkeeping functions on a daily, weekly, monthly basis.
  • Communicate with vendors and follow up on inquiries.
  • Process 1099s and collect invoices for the annual sales tax return.

Overview

We are seeking a highly motivated, detail-oriented, and experienced Family Office Associate to join our team, reporting to a Family Office Manager.

Responsibilities
  • Performing basic bookkeeping functions on a daily, weekly, monthly basis; including:
  • Creating new vendors
  • Recording vendor invoices in the general ledger as accounts payable
  • Prepare payments (checks, ACH, wires) of vendor invoices and submit for review
  • Recording cash movement transactions from financial institutions
  • Record purchase of assets, capital improvements
  • Prepare journal entries for payroll, accruals and prepaid expenses
  • Credit card statement processing – system input and review of supporting documentation
  • Meticulous maintenance of client files/records in shared network folders
  • Daily tracking and following up on transactions, including vendor maintenance
  • Completing vendor, credit and other applications on behalf of clients
  • Requesting completed W9 and NDA forms from vendors
  • Communicating with vendors and following up on inquiries
  • Processing 1099s
  • Collecting invoices for annual sales tax return
  • Responding promptly to client’s various requests
  • Familiarity with financial statements
  • Ad hoc analysis and reporting
Qualifications & Requirements
  • Bachelor’s degree in accounting
  • 2+ years’ accounting experience focusing on A/P, Journal Entries, Bank Reconciliations and Data Entry
  • Strong proficiency in Excel (including pivot tables and v-lookups)
  • Expeditious and accurate data entry skills
  • Highly motivated self-starter; independent worker
  • Able to communicate well (both verbal and written) and build relationships within teams
  • Possesses core self-management skills: time management, organization, prioritization, resourcefulness, problem-solving

  • Experience with MS Dynamics, NetSuite, and/or SalesForce
  • Family Office Experience preferred

Physical Requirements
