Job Summary

The Facilities Operations Specialist serves as a building manager for the Wright Education Building.
Department-Specific Responsibilities

  • Oversees all daily building operations including oversight of mail, safety and emergency management, building management and maintenance and facilities projects.
  • Coordinates with all maintenance teams, service providers and emergency personnel to maintain facility standards.
  • Oversees all mail and shredding services for the building.
  • Coordinates with all IU offices such as custodial, inspections, university architect offices and service vendors to coordinate small- and large-scale building projects.
  • Creates and manages maintenance schedules and plans for preventative maintenance.
  • Manages building security and access controls, including key management.
  • Maintains and updates emergency response plans, including scheduling regular training and emergency preparedness meetings and leading the school's emergency response team.
  • Ensures building compliance with fire safety, environmental health and occupational safety regulations.
  • Coordinates space management including preparing annual inventory reports and biennale capital asset inventory, maintains updated floor plans and room assignments.
  • Manages logistics for school events which may include set up and breakdown.
  • Manages budget and track expenses for facility related maintenance and/or projects.
General Responsibilities
  • Manages building operations and maintenance such as maintenance planning, security/access control, and emergency response. Coordinates fire and life safety, environmental safety procedures, and planning with university personnel and external agencies where required.
  • Performs periodic scheduled and ad hoc inspections to identify cleaning and property maintenance needs.
  • Prepares estimates for repairs and ensures building maintenance falls within allocated budget with an emphasis on cost-containment.
  • Participates in all aspects of project development, budget, implementation, and completion.
  • Participates in an on-call rotation to cover emergency situations.
  • Coordinates fulfillment of work orders for corrective action and routine maintenance; monitors progress, escalating complex matters as needed.
  • May provide guidance to non-exempt Licensed & Skilled Trades staff.

Working Conditions / Demands

This role regularly requires the ability to effectively communicate. This role frequently requires the ability to handle equipment. This role frequently requires the ability to remain stationary and ascend/descend ladders/stairs. This role requires the ability to move objects weighing up to 25 pounds. The role requires the ability to detect items in close proximity as well as far away; discern between colors; detect objects in peripheral space of self; discern items in detail; and to have good depth perception. The person in this role must be able to perform the essential functions with or without an accommodation.
