Job summary

Civil Constructors LLC is seeking a Facility Maintenance Coordinator to keep its buildings and systems safe, functional, and professional. You will perform routine maintenance, minor repairs, and preventive maintenance while coordinating qualified contractors as needed.

This role supports budgeting for repairs, maintains work orders and service records, and ensures compliance with safety standards across multiple properties.

Qualifications

  • High school diploma or equivalent required.
  • Three or more years of experience in facility maintenance or related field preferred.
  • General working knowledge of HVAC, plumbing, electrical, lighting, doors, security, and fire‑protection systems.
  • Ability to safely complete basic repairs and recognize when a licensed or specialized contractor is required.
  • Experience coordinating vendors, reviewing proposals, scheduling service, and monitoring completed work.
  • Basic computer skills and the ability to maintain work orders, schedules, invoices, inspection records, and other maintenance documentation.
  • Strong organizational, communication, and problem‑solving skills.
  • Ability to prioritize maintenance needs across multiple company properties.
  • Valid driver’s license and an acceptable driving record.
  • OSHA training and familiarity with preventive‑maintenance programs, work‑order systems, and commercial or industrial facilities are preferred.

Responsibilities

  • Inspect buildings, shops, offices, grounds, parking areas, and storage areas to identify maintenance needs, safety concerns, and developing problems.
  • Perform routine maintenance and minor repairs involving doors, locks, lighting, plumbing fixtures, walls, ceilings, flooring, furniture, shelving, and similar facility components.
  • Coordinate specialized repairs and services involving HVAC, electrical, plumbing, roofing, fire-protection, security, access-control, overhead-door, and other building systems.
  • Develop and maintain preventive‑maintenance schedules, inspection records, work orders, warranties, service agreements, and vendor information.
  • Receive, prioritize, track, and complete facility‑related maintenance requests.
  • Obtain quotes, schedule contractors, coordinate access, and verify that work is completed safely and according to the approved scope.
  • Coordinate janitorial services, waste removal, pest control, landscaping, grounds maintenance, and weather‑related response as needed.
  • Monitor facility conditions and recommend repairs, replacements, or improvements based on safety, operational needs, condition, and long‑term cost.
  • Assist with budgeting and planning for facility repairs, maintenance projects, and minor improvements.
  • Maintain an appropriate inventory of facility‑maintenance tools, materials, parts, and supplies.
  • Help ensure facilities meet company safety standards and applicable building, fire, security, and environmental requirements.
  • Respond promptly to urgent facility issues affecting employee safety, building security, or business operations.
  • Support office moves, furniture installation, workspace changes, and minor facility modifications.
  • Keep management informed of facility conditions, repair progress, costs, and unresolved concerns.
  • Maintain facilities in a manner that reflects Civil Constructors’ values of Service, Honesty, and Excellence.
  • Perform other facility‑maintenance duties as assigned.

Job description

The Facility Maintenance Coordinator is responsible for keeping Civil Constructors’ buildings, grounds, and facility systems safe, functional, clean, and professional. This position performs routine maintenance and minor repairs, manages preventive-maintenance activities, identifies developing facility concerns, and coordinates qualified contractors when specialized work is required.

This position is dedicated to facility maintenance and does not include responsibility for maintaining or managing company vehicles or construction equipment.

Essential Duties and Responsibilities

Physical and Work Requirements
  • Regularly walk, stand, bend, climb, reach, and work throughout commercial and industrial facilities.
  • Safely use ladders, hand tools, power tools, and basic maintenance equipment.
  • Lift and carry materials or equipment weighing up to 50 pounds.
  • Work indoors and outdoors in varying weather and shop conditions.
  • Access rooftops, mechanical rooms, storage areas, and other building spaces as necessary.
  • Wear appropriate personal protective equipment and travel regularly between company properties.
  • Occasionally respond to urgent facility needs outside normal working hours.
