Supports day-to-day facilities operations across multi-site facilities with a focus on facility improvements, CMMS workflow management, vendor oversight, project documentation and accruals, enhancement of procedures for routine work, management of floor plans and drawings, and coordination of scheduling and calendars. This entry‑level role is designed for recent graduates to apply their academic knowledge in a hands‑on environment, contributing to operational efficiency, compliance, and continuous improvement in facilities management while building a strong foundation for career growth.
Manages CMMS workflows, including work order creation, tracking, and optimization to streamline maintenance and operations processes. Supports facility improvements by identifying efficiencies and implementing procedural enhancements for routine tasks.
Handles vendor management, including performance monitoring, contract compliance, invoice processing, and relationship coordination to ensure high‑quality service delivery.
Maintains project documentation, tracks accruals, and manages financial reporting for operational initiatives. Oversees floor plans, drawings, and asset documentation, ensuring accuracy and accessibility.
Coordinates and schedules calendars for maintenance, inspections, vendor visits, and team activities, facilitating smooth operational flow and timely execution.
Contributes to overall facility improvement by developing and refining standard operating procedures (SOPs), conducting audits, and recommending best practices for routine work and efficiency gains.
Provides administrative support, including reporting, communication with stakeholders, and assistance in preventive maintenance planning to uphold facility standards.
Safety Duties: Ensures safe working conditions are maintained and takes corrective action when notified of any safety violations.
Frequent office deskwork requiring sitting, using phone and computer. Regularly requires extensive walking when performing site audits, troubleshooting problems with crafts and physical building checks. Occasionally requires climbing, stooping, kneeling, crouching, and lifting up to 50 pounds.
