Job summary

Emerald Heights in Redmond, WA is seeking a Facilities Support Specialist to provide administrative and operational support to the Facilities Department. You will track budgets, coordinate purchasing, respond to resident inquiries, create and assign work orders, and maintain department records under the Director of Facilities.

Ideal candidates have at least two years of administrative support experience in a fast-paced office and in a property management setting, with proficiency in Microsoft

  • At least two years of administrative support experience in a fast-paced office with high phone volume.
  • At least two years in a property management environment.
  • Valid Washington State driver’s license and driving record acceptable.
  • Knowledge of purchasing, records management, scheduling, and task coordination.
  • Tech-savvy; strong Microsoft 365 skills.
  • Excellent verbal and written English communication skills.

Responsibilities

  • Lead planning and deployment of new facilities software, including maintenance and updates.
  • Enter and maintain data in facilities management systems (building info, PM schedules, budgets).
  • Receive maintenance requests via phone, resident portal, WorxHub; create and monitor work orders.
  • Schedule preventive maintenance; coordinate with facilities staff, residents, vendors, and other departments.
  • Communicate planned and emergency work through notices and channels.
  • Order supplies and contracted services; maintain purchasing and inventory records.
  • Monitor expenditures against budget; prepare reports and route documents for approval.

The Facilities Support Specialist provides administrative and operational support to the Facilities Department. Responsibilities include tracking budgets and expenditures, coordinating purchasing and inventory, responding to resident inquiries and maintenance requests, creating and assigning work orders, maintaining department records and systems, and supporting the Director of Facilities.
Pay: $26 - $31.50 an hour
Schedule: M-F Full Time - General Business Hours

  • Lead the planning, implementation, and successful deployment of new facilities software; oversee its continued use, maintenance, and updates.
  • Enter and maintain accurate data in facilities management systems, including building information, preventive maintenance schedules, work activity, and budget reports.
  • Receive maintenance and repair requests by telephone, resident portal, WorxHub, and two-way radio; create, route, assign, and monitor work orders.
  • Schedule preventive maintenance and coordinate work with Facilities staff, residents, vendors, Security, and other departments.
  • Communicate planned, upcoming, and emergency work through appropriate notices and other communication channels.
  • Order supplies, equipment, and contracted services; maintain purchasing and inventory records.
  • Monitor department expenditures against the budget, prepare CARS for approved capital projects, code invoices, reconcile charges, and route documentation for approval and payment.
  • Maintain organized office, purchasing, facilities, and operational records.
  • Provide courteous, customer-focused assistance to residents, visitors, vendors, and staff.
  • Maintain staff and resident vehicle records; assign and monitor resident parking spaces, including identifying spaces that are not being used.
  • Create and distribute name badges and access cards for residents and staff.
  • Schedule appointments for new residents to meet with the Director of Facilities regarding available services.
  • Pick up mail, obtain supplies, and complete other business-related errands as needed.
  • Perform other duties as assigned.
Required Knowledge, Skills and Experience:
  • High school diploma or GED preferred.
  • At least two years of administrative support experience in a fast-paced office environment with a high volume of phone calls.
  • At least two years of experience in a property management environment.
  • Valid Washington State driver’s license and an acceptable driving record.
  • Knowledge of purchasing, records management, scheduling, and task coordination.
  • Tech-savvy, computer proficient & strong experience with Microsoft 365.
  • Excellent verbal and written English communication skills.
  • Ability to prioritize responsibilities, manage multiple tasks, and learn new processes quickly.
  • Ability to work independently, exercise sound judgment, and use common sense.
  • Ability to collaborate effectively with residents, staff, vendors, and management.
  • Resourceful, flexible, and able to maintain confidentiality.
  • Positive, courteous, and customer-focused approach.
  • Regular, dependable, and reliable attendance.
