Job summary

Avera McKennan Hospital in Sioux Falls seeks a Maintenance Coordinator to prioritise and dispatch work for maintenance staff and monitor progress to ensure timely resolution.

The role requires learning multiple hospital systems, delivering strong staff support, and maintaining service quality. You will work M-F evenings with rotating weekends, contributing to reliable facilities operations.

Responsibilities

  • Answer and triage maintenance issues via calls, email, and staff across hospital and clinic sites.
  • Provide clear instructions to staff on reporting processes and escalation procedures.
  • Document requests accurately in the software system.
  • Evaluate reported issues to determine priority and response level.
  • Assign maintenance work orders to technicians or service teams and monitor status for timely completion.
  • Learn and operate CMMS and other hospital systems; observe dashboards and report anomalies to staff.
  • Assist in generating reports for performance metrics and system utilization.
  • Support SOPs and recommend improvements for efficiency and reliability.
  • Provide new-hire refresher training to Facility users.
  • Create and maintain access rights for Facility Service staff.

A Brief Overview

Responsible for receiving, prioritizing, and dispatching work assignments to maintenance staff while monitoring progress to ensure timely resolution. The Coordinator must be able to learn and navigate multiple technical systems, provide excellent customer service to staff, and support the overall effectiveness of the Facility Services Department.

What you will do
  • Answers and triages incoming phone calls, emails, and other communications regarding maintenance issues from staff across hospital and clinic sites.
  • Provides clear instructions to staff on reporting processes and escalation procedures.
  • Documents requests accurately and completely in the software system.
  • Evaluates reported issues to determine priority and appropriate response level.
  • Assigns maintenance work orders to the appropriate technicians or service teams. Monitors work order status and follow up to ensure timely completion and customer satisfaction.
  • Learns and operates multiple systems critical to hospital operations, including but not limited to CMMS, building control systems, pneumatic tube systems, etc. Observes system dashboards and alerts, reporting anomalies or failures to technical staff.
  • Assists in generating reports for performance metrics, system utilization, and compliance.
  • Supports standard operating procedures and recommend improvements for efficiency and reliability.
  • Provides new-hire refresher training to Facility users.
  • Creates and maintains access rights for Facility Service staff if appropriate technology solutions.
