Job summary

Northwestern Medicine is seeking a Facilities Project Coordinator to manage day-to-day parts and supply activities, oversee small maintenance projects, and maintain inventory accuracy across the facilities network.

The role requires strong trades experience, reading technical documents, and CMMS proficiency, along with solid communication with patients and staff. This position emphasizes reliability within the Northwestern Medicine facilities team.

Qualifications

  • High School Diploma required.
  • 5 years of experience in plumbing, carpentry, electrical, painting or related trades.
  • Ability to read manuals, blueprints, diagrams, and schedules.
  • Proficient in shop math (fractions, percentages, ratios, proportions).
  • Strong report-writing skills and attention to detail.

Responsibilities

  • Coordinate day-to-day activities of the parts and supply department.
  • Bid, award and oversee small contracted maintenance projects.
  • Maintain and update parts inventory.
  • Oversee vendor repairs and ensure quality of work.
  • Manage parking lot maintenance and roof inspection scheduling.
  • Communicate with Maintenance for timely supplies and tools.
  • Keep storage areas neat and organized.

Facilities Project Coordinator

The Facilities Project Coordinator reflects the mission, vision, and values of NM, adheres to the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards.

Responsibilities:
  • Coordinates the day-to-day activities of the parts and supply department.
  • Bids out, awards and oversees small, contracted maintenance projects.
  • Responsible for ensuring that the parts inventory is maintained and kept up to date.
  • Oversees vendors on repairs to make sure that all work is done properly.
  • Responsible for all parking lot maintenance and repairs including asphalt and stripping.
  • Responsible for scheduling all roof inspections and making sure that all repairs are completed.
  • Communicates with all members of the Maintenance department to ensure all supplies and tools are ordered in a timely manner.
  • Keeps all storage and supply areas neat and organized.
Required:
  • High School Diploma
  • 5 years of experience in areas such as plumbing, carpentry, electrical, painting, plastering, hydraulics, pneumatics, and machine servicing or equivalent.
  • Must be able to read and interpret manuals, blueprints, diagrams, written instructions, schedules, or technical bulletins.
  • Must understand shop level math including concepts such as fractions, percentages, ratios and proportions.
  • Must be able to write reports with proper format, punctuation, spelling, and grammar.
  • Intermediate computer knowledge, Microsoft Office; e-mail, word and spreadsheets, and knowledge of computerized maintenance management systems.
  • Must possess excellent customer relations skills and be able to communicate with patients and staff.
Preferred:
  • 10+ years’ experience in areas such as plumbing, carpentry, electrical, painting, plastering, hydraulics, pneumatics, and machine servicing or equivalent.
