Job summary

Position Purpose

The Facility Operations Planner plans, schedules, and coordinates maintenance work so that trade teams and outside service providers can perform their work efficiently, safely, and with minimal delay. Rather than simply processing incoming work orders, the Planner looks ahead to schedule upcoming workloads across shops, and confirms that the right people, parts, and resources are in place before work begins.


Working as a partner to Shop Supervisors and departmental management, the Planner develops realistic schedules, keeps the maintenance backlog moving, and removes barriers that slow work down so supervisors can focus on leading their teams. The Planner serves as the central coordination point for multi-shop work, contractors, utility shutdowns, and space access, and uses operational data, such as backlog, preventive maintenance completion, overtime, emergency work, and schedule compliance, to identify trends and drive continuous improvement. This position reports to the Director of Maintenance Services and provides additional support for administrative and management functions as needed.

Required Qualifications - Skills, Knowledge And Abilities


  • Associate’s degree in engineering, operations, business, or a related field required; bachelor’s degree preferred. Alternatively, three or more years of experience in an operations planner/scheduler role or operations leadership position, or an equivalent combination of education and experience.

  • Minimum of two years of experience supporting customers and skilled trade team members in building operations and maintenance, construction, or similar service environment, with demonstrated knowledge of building maintenance and work order management.

  • Knowledge of institutional building system types and associated maintenance and reliability issues.

  • Demonstrated ability to plan, schedule, and coordinate work across multiple trades, balancing competing priorities and workloads.

  • Strong analytical and problem-solving skills, including the ability to interpret operational data—such as backlog, PM completion, and schedule compliance and translate it into actionable recommendations.

  • Excellent oral and written communication skills, with the ability to communicate effectively across a wide range of audiences, including faculty, staff, students, and other departments.

  • Demonstrated ability to establish and maintain positive customer and stakeholder relationships and to work collaboratively with supervisors and trade teams.

  • High degree of attention to detail, with the ability to document requests and plans thoroughly, accurately, and consistently with minimal supervision.

  • Proficiency with computerized maintenance management software (Planon or a similar CMMS ) and Microsoft Office applications, including Word, Excel, PowerPoint, Power BI, and Outlook.


Preferred Qualifications


  • Bachelor’s degree in engineering, operations, building or a related field.

  • Experience as a maintenance planner/scheduler in a college, university, healthcare, or other large institutional environment.

  • Familiarity with preventive and reliability-centered maintenance concepts and asset management best practices.

  • Experience building reports or dashboards (for example, in Power BI) to track and improve maintenance performance.

  • Professional certification such as Certified Maintenance & Reliability Professional ( CMRP ) or equivalent.

Key Accountabilities

Work Planning and Scheduling


  • Look ahead across the maintenance portfolio to plan and sequence upcoming work, balancing workloads across shops and technicians and leveling peaks and gaps before they affect service.

  • Partner with Shop Supervisors to develop realistic weekly and longer-range schedules, confirm labor availability and trade requirements, and adjust plans as priorities shift.

  • Scope, estimate, and prepare work in advance, defining tasks, labor hours, trades, materials, and access needs so that jobs are ready to schedule when they reach the shop.

  • Proactively identify and remove barriers and resolve conflicts that would delay scheduled work, escalating to supervisors and the Director when needed so supervisors can focus on leading their teams.

  • Maintain the priority system for 24/7 emergency response and for daily scheduled and unscheduled work, using it to protect planned work from unnecessary disruption.

Backlog and Preventive Maintenance Management


  • Regularly review the maintenance backlog and aging work orders, identify priorities, and work with supervisors to keep work moving and prevent orders from stalling.

  • Track backlog by shop, trade, priority, and age, and recommend adjustments to scheduling, staffing, or resourcing to keep it within healthy ranges.

  • Help strengthen the preventive maintenance (PM) program by reviewing PM scope, frequency, and completion, and recommending changes that improve equipment reliability.

  • Identify recurring equipment issues and repeat failures and make recommendations such as PM adjustments, targeted repairs, or capital planning input to address root causes rather than symptoms.

Cross-Functional Coordination


  • Serve as the central point of contact for coordinating multi-shop work, contractors, vendors, utility shutdowns and impairments, space access, and other activities requiring cross-functional collaboration.

  • Sequence and de-conflict work involving multiple trades or outside providers so that dependencies are met, and rework is avoided.

  • Coordinate with Facility Operations staff and customers on access to occupied spaces, including shutdowns and after-hours access, to minimize disruption to building occupants.

  • Keep requestors, supervisors, and leadership informed of the schedule, status, and changes for coordinated work.

Material and Resource Planning


  • Confirm that materials, parts, tools, contractors, and other resources are identified and available before work is scheduled, so crews are not dispatched to jobs that cannot be completed.

  • Coordinate the procurement of parts and outside services, arrange staging or delivery to align with the schedule, and identify suitable alternatives when resources are constrained.

  • Maintain awareness of lead times and critical spares, and flag long-lead items early so they do not delay planned work.

Data, Performance, and Continuous Improvement


  • Analyze operational trends—including backlog, PM completion, overtime, emergency and reactive work, and schedule compliance—and translate them into clear, actionable information for supervisors and leadership.

  • Produce and maintain reports and dashboards on work performance, equipment repair history and cost, and other key metrics to support planning and decision-making.

  • Use performance data to identify opportunities to improve planning, scheduling, and reliability, and recommend and help implement corrective actions.

  • Continuously look for ways to improve planning processes, tools, and standards, and share improvements across shops.

Asset Management and Compliance Programs


  • Maintain records, schedules, and work orders for portfolio-wide physical asset management and compliance programs, including but not limited to elevators, backflow devices, fall protection systems, uninterruptible power supplies ( UPS ), pressure vessels, and utility shutdown/impairment requests.

  • Coordinate with consultants, contractors, and vendors on compliance-related site visits, inspections, payments, and documentation, and reconcile reports and records using KPI dashboards to ensure accuracy and timeliness.

  • Ensure regulatory and compliance activities are planned and scheduled ahead of deadlines rather than addressed reactively.

  • Plan and perform all work in accordance with the Facility Operations Safety Program and applicable OSHA regulations, and build safety requirements into work plans and schedules.

  • Develop and maintain strong working relationships with supervisors and staff to ensure continuity of service, and provide additional administrative and management support as needed.
