This role requires a proactive and hands-on approach to maintaining and improving the museum’s physical environment, ensuring all systems operate efficiently to support daily operations and visitor experience.

  • Monitor, inspect, maintain, and manage the repair of building life services including mechanical, electrical, plumbing, HVAC, janitorial, fire, and building security systems.
  • Perform general maintenance and repairs and manage the facilities log.
  • Monitor and maintain the building’s temperature and humidity levels consistent with art preservation standards.
  • Support event and programming production with facilities logistics, including setup and breakdown.
  • Maintain and organize the Museum’s offsite storage area.
  • Develop and manage facility-related operating procedures and policies.
  • Maintain digital and physical records of maintenance schedules and repairs.
  • Develop short- and long-term facilities plans that outline immediate priorities, future needs, and a strategic vision for the organization’s physical infrastructure.

  • Ensure compliance with all safety and security protocols, developing contingency plans as necessary.
  • Coordinate with local and state officials to comply with regulations and maintain required facility licenses/certificates including fire, elevator, and general operating licensure.
  • Manage facility access procedures.
  • Respond to facility emergencies, including alarms and fire systems.
  • Perform daily walkthroughs of the facility to identify potential safety issues.
Priority 3: Financial Management

This role involves strategic and responsible financial stewardship of the facilities budget, requiring the ability to plan, track, and manage resources effectively to support both short-term needs and long-term infrastructure investments.

  • Create (with the COO), manage, and adhere to the annual facility budget.
  • Plan for longer-term capital expense and asset lifecycle replacement.
  • Identify opportunities to reduce or repurpose facilities expenses.
Priority 4: Collaboration & Coordination

This role requires the ability to communicate and collaborate cross-functionally with departments to problem-solve facilities needs that also consider the needs and priorities of other teams.

  • Coordinate with the Chief Operating Officer on new building projects, considering scope, budget, organizational mission, and risks.
  • Coordinate with facility vendors to ensure systems are functioning optimally.
  • Coordinate with internal teams to ensure the safety, security, and surveillance of installed artwork.
  • Oversee contract services such as janitorial and garbage.
  • Attend staff meetings and report on facility-related issues as needed.
  • Conduct training for staff on facility-related topics.
  • Assist with facility requirements for the Annual Gala and other development events.

Other Duties & Responsibilities include supporting overall departmental and organizational goals, with management rights to modify duties as needed. Supervisory responsibilities may include overseeing part-time maintenance support. The role requires safeguarding confidential information and interacting with managers and staff across the organization and external entities.
