Qualifications

  • High school diploma or GED required; an associate degree or relevant coursework in facilities management, business administration, operations, or a related field preferred.
  • Two or more years of experience in facilities coordination, maintenance administration, fleet coordination, or a similar operations-support role preferred.
  • Experience scheduling and tracking preventive maintenance, service calls, repairs, or inspections.

Responsibilities

  • Manage company fleet vehicles, including scheduling maintenance, smog inspections, and DMV renewals.
  • Monitor, prioritize, and coordinate Facilities hotline calls and online Facilities Service Requests.
  • Assign Facilities Service Requests to service technicians based on urgency, priority, workload, and available resources.
  • Provide weekly and monthly management reports containing key data metrics for open, closed, and priority service requests.
  • Prepare monthly reports tracking facility-related issues, including roof, plumbing, and HVAC leaks, and identify trends for management review.
  • Coordinate and update preventive maintenance schedules and repair activities with outside contractors and internal users for HVAC systems, forklifts, cranes, roll-up doors, generators, UPS systems, and other facility equipment.
  • Maintain and update the Facilities preventive maintenance databases, including SharePoint , MaintainX and Flexsys, ensuring information is accurate and current.
  • Support preventive maintenance tracking, scheduling, and follow-up to help ensure required maintenance activities are completed on schedule.
  • Purchase parts and supplies for Facilities service technicians using the company procurement card while following established purchasing procedures.
  • Provide general administrative and operational support to the Facilities Team.
  • Assist with communication and coordination between Facilities technicians, contractors, employees, and management to support timely completion of service requests and maintenance activities.

About The Position

The Facilities Operations Coordinator provides administrative and operational support to the Facilities Team, coordinating service requests, preventive maintenance activities, fleet management, reporting, contractor scheduling, and day-to-day facilities operations. This role serves as a key point of coordination between employees, Facilities service technicians, management, and outside contractors to ensure timely and effective resolution of facility-related needs.

Responsibilities
  • Manage company fleet vehicles, including scheduling maintenance, smog inspections, and DMV renewals.

  • Strong organizational skills and attention to detail, including maintaining accurate records and keeping maintenance databases current.
  • Proficiency with Microsoft Office applications, especially Excel, Outlook, and SharePoint; experience with MaintainX, Flexsys, or another computerized maintenance management system (CMMS) is preferred.
  • Ability to prepare routine reports, track open and completed work orders, and identify recurring facility issues or maintenance trends.
  • Experience coordinating with technicians, contractors, employees, and managers to schedule work and communicate updates.
  • Clear written and verbal communication skills and the ability to provide courteous, responsive customer service.
  • Ability to handle multiple tasks, meet deadlines, and work independently while supporting a team.
  • Willingness to learn company-specific systems, procedures, and facility equipment requirements
  • You’ll be part of our in-office team, working together in a collaborative environment from 8:00 AM to 5:00 PM, Monday through Friday.

The Facilities Operations Coordinator helps ensure efficient Facilities operations by coordinating service requests, preventive maintenance, reporting, fleet requirements, contractor activities, and administrative functions while providing responsive support to employees and the Facilities Team.
