Role Overview

We are seeking a proactive, highly organized Remote Facilities Manager to oversee our office operations across the U.S. This role ensures smooth facilities management by collaborating with landlords, utilities, vendors, and staff, supporting a productive and welcoming environment that reflects our values and assists our teams in delivering outstanding services.

This is a 100% remote position, with occasional travel to key locations, fully covered by the company.

Key Responsibilities
Office Coordination & Oversight
  • Serve as the primary contact for landlords, utilities, and service providers.
  • Maintain logs of lease agreements, utilities, vendor contracts, and office services.
  • Track and resolve office service issues.
Vendor & Contract Management
  • Manage setup, maintenance, and termination of vendor services.
  • Support vendor selection and ensure compliance with agreements.
  • Monitor invoices and flag discrepancies.
Facilities Operations & Improvements
  • Support moves, changes, and improvements remotely and via site visits.
  • Coordinate requests related to access, ergonomics, and repairs.
  • Maintain asset inventory and collaborate with IT Support.
  • Escalate issues to leadership as needed.
Cross-Functional Collaboration
  • Support space planning aligned with company growth.
  • Assist with asset management in collaboration with relevant teams.
Required Qualifications
  • 3+ years in facilities coordination, property management, or related roles.
  • Ability to manage multiple priorities and vendors across locations.
  • Strong communication skills and a service-oriented approach.
  • Proficiency with Google Workspace and project management tools.
  • Highly organized, detail-oriented, proactive, and able to work independently remotely.
  • Willingness to travel quarterly or less within the U.S.
Preferred Qualifications
  • Experience managing leased office space and working with landlords.
  • Knowledge of contract management and invoice tracking.
  • Understanding of workplace safety, accessibility, and compliance.
  • Experience in professional services or distributed teams.
  • Familiarity with inventory and reporting tools like Airtable or Salesforce.
