Qualifications

Responsibilities

  • Maintain buildings, common areas, mechanical spaces, grounds, parking areas, and other physical assets to established standards.
  • Monitor building systems and utility consumption and identify opportunities to improve operational efficiency and reduce costs.
  • Maintain accurate records of inspections, work orders, equipment, warranties, maintenance schedules, and service contracts.

Position Summary

The Facilities Manager is responsible for the day-to-day operation, maintenance, safety, and overall physical condition of a portfolio consisting of multifamily residential properties and office buildings. This position provides hands-on leadership of building operations, maintenance staff, vendors, contractors, and preventative maintenance programs to ensure properties are safe, functional, well-maintained, and operated efficiently.

The Facilities Manager will serve as a key point of contact for property management, residents, tenants, ownership, contractors, and service providers. The ideal candidate is an organized, solutions-oriented professional with strong technical knowledge, leadership skills, and experience managing multiple facilities and competing priorities.

Essential ResponsibilitiesBuilding Operations & Maintenance

Team & Vendor Management
  • Lead, schedule, train, and supervise maintenance and facilities personnel.
  • Establish performance expectations and ensure maintenance work is completed safely, efficiently, and to a high standard.
  • Manage relationships with contractors, service providers, suppliers, and specialty vendors.
  • Obtain and evaluate bids and proposals for repairs, maintenance, and capital projects.
  • Coordinate contractor access and ensure work is performed in accordance with property requirements, specifications, and applicable regulations.
  • Review vendor invoices and confirm that services and work have been completed as contracted.
Resident & Tenant Service
  • Respond professionally and promptly to maintenance concerns and facility-related issues.
  • Coordinate resolution of resident and office tenant service requests.
  • Communicate maintenance schedules, building disruptions, outages, and planned projects to affected residents, tenants, and management.
  • Maintain a high standard of cleanliness, appearance, functionality, and curb appeal throughout the properties.
  • Work closely with property management to support resident and tenant satisfaction and retention.
Safety, Compliance & Risk Management
  • Ensure properties comply with applicable building codes, fire/life-safety requirements, OSHA standards, environmental regulations, and other applicable laws and regulations.
  • Maintain and test emergency systems and procedures, including fire alarms, emergency lighting, generators, evacuation systems, and other life-safety equipment.
  • Coordinate inspections, permits, certifications, and regulatory requirements.
  • Identify and mitigate potential safety hazards and liability risks.
  • Maintain emergency response procedures and participate in emergency preparedness planning.
  • Ensure employees and contractors follow appropriate safety procedures and use required personal protective equipment.
Capital Projects
  • Assist with planning, budgeting, and execution of capital improvement and renovation projects.
  • Coordinate contractors and consultants during construction and renovation activities.
  • Monitor project schedules, budgets, quality, and completion.
  • Review completed work and ensure deficiencies are addressed.
  • Maintain documentation for warranties, equipment, improvements, and project closeout.
Budget & Administrative Responsibilities
  • Assist with preparation and management of annual facilities and maintenance budgets.
  • Monitor operating expenses and identify opportunities for cost savings without compromising quality or safety.
  • Track maintenance expenses, contracts, utilities, supplies, and capital expenditures.
  • Maintain an inventory of tools, equipment, parts, and maintenance supplies.
  • Utilize work-order, property management, or facilities management software to track and prioritize maintenance activities.
  • Prepare regular reports regarding property condition, maintenance activities, expenditures, outstanding work, and capital needs.
Qualifications
  • 5+ years of experience in facilities, building engineering, property maintenance, or a related field; experience with both multifamily and commercial properties preferred.
  • Prior supervisory or management experience.
  • Strong working knowledge of commercial and residential building systems, including HVAC, electrical, plumbing, mechanical, and life-safety systems.
  • Experience managing outside contractors and service vendors.
  • Knowledge of preventative maintenance practices and building inspection procedures.
  • Strong understanding of workplace and building safety requirements.

  • Valid driver's license and reliable transportation, if required by the property portfolio.
Preferred Qualifications
  • Bachelor's degree or associate degree in facilities management, engineering, construction management, property management, or a related field.
  • Professional certifications such as BOMI, CFM, FMP, OSHA, EPA, or equivalent.
  • HVAC, electrical, plumbing, or building engineering certification or trade experience.
  • Experience with multifamily property management systems and commercial building management systems.
  • Experience managing capital improvement and renovation projects.
  • Experience with budgeting, forecasting, and vendor contract management.

Physical Requirements

The position requires the ability to regularly walk and inspect buildings and property grounds, climb stairs and ladders, access mechanical and utility areas, and occasionally lift or move equipment and materials. The Facilities Manager may be required to work in varying weather conditions and respond to emergencies outside of normal business hours.

Work Environment

This position is primarily based across a portfolio of multifamily residential and office properties. The Facilities Manager will regularly work in mechanical rooms, common areas, tenant spaces, residential buildings, exterior grounds, and construction areas. The position may require occasional evening, weekend, holiday, or on-call work in response to emergencies or operational requirements.
