Job Summary: This position is responsible for overseeing the management and operations of facilities maintenance, custodial services, and the non-licensed trades team. The role ensures that all activities are conducted efficiently and in full compliance with applicable city, state, and federal regulations, upholding the highest standards of safety, functionality, cleanliness, customer service and operational excellence.
Essential Duties and Responsibilities:
- Develops and manages comprehensive cleaning schedules for multiple city facilities, ensuring that facility-specific needs, peak usage hours, and travel times are effectively coordinated.
- Directs and oversees facilities maintenance and custodial staff to ensure tasks are efficiently scheduled, facilities are thoroughly inspected, and inventory is accurately managed.
- Provides leadership, direction and oversight to facilities maintenance and custodial personnel, setting clear expectations and ensuring tasks are completed efficiently, effectively and timely.
- Allocates and oversees custodial staff and resources across facilities, incorporating contingency plans for emergencies, while monitoring and adjusting schedules to optimize operations and address evolving demands.
- Establishes and implements comprehensive protocols for addressing urgent maintenance issues, such as plumbing failures or other unexpected facility-related concerns, ensuring rapid resolution and minimal disruption to respective facility operations while also overseeing follow-up actions to prevent recurrence and ensuring the facility remains operational and safe.
- Conducts regular facility inspections using established checklists to evaluate cleaning quality, identify problems, ensure compliance with health and safety regulations and provide feedback to custodial staff.
- Maintains detailed inspection records, implements corrective actions, and performs follow-up evaluations to sustain cleanliness standards and address recurring issues.
- Trains and educates custodial and maintenance staff on established policies, monitors adherence, and makes ongoing adjustments to improve compliance and operational efficiency.
- Collaborates with external vendors or contractors for specialized services or repairs beyond in-house capabilities.
- Promotes a culture of accountability, continuous improvement, collaboration, and exceptional customer service throughout facilities maintenance and custodial operations.
- Operates a city-owned vehicle to travel safely and efficiently between City locations as needed.
- Utilizes a Computerized Maintenance Management System (CMMS) and/or other applicable software to manage work orders, schedule preventative maintenance, track inventory, and generate reports, supporting preventative maintenance, asset management, operational reporting, and data-informed decision-making.
Qualifications:
- High school diploma or equivalent required.
- Five years of progressively responsible experience in facility maintenance, custodial operations, or a related field required.
- Prior supervisory or management experience required.
- Must possess a valid South Dakota Driver’s License or ability to obtain within 30 days from date of hire.
- Proficient in CMMS platforms and related maintenance software with proven ability to manage facilities operations.
- Strong working knowledge of health and safety regulations, including OSHA standards.
- Most work is performed indoors in an office where noise and interruptions often occur.
- While performing the duties of this job, the employee is regularly required to stand, walk, use hands to finger, handle, or feel, and reach with hands and arms.
- The employee is frequently required to sit, stoop, kneel, crouch, or crawl and smell.
- The employee must regularly lift and/or move up to 10 pounds.
- The employee will be required to communicate effectively orally and in writing.
- The ability to talk and hear via the telephone and through face-to-face communication is needed.
- Ability to maintain a professional appearance and demeanor is necessary.
