The role focuses on managing administration for capital expenditure projects, budgeting resources, and coordinating with stakeholders across departments.

Ideal candidates have 3+ years in facilities management, strong organizational skills, CPR certification within 30 days, and proficiency with Excel and Smartsheet.

Qualifications

• Minimum 3 years of experience in facilities management or related field.
• Strong background in administration management and budget oversight.
• CPR Certification is required within 30 days of hire.
• Excellent organizational and communication skills.
• Experience with project software and project administration.

Responsibilities

• Manage all administration aspects for capital expenditure projects, reporting directly to the VP of Facilities Improvement.
• Oversee the allocation of resources and budgets for facility enhancements.
• Coordinate with internal stakeholders to ensure projects align with strategic objectives.
• Maintain records of vendors, contracts, and project documentation.
• Act as a liaison between the facilities department and construction teams.
• Review invoices, ensuring adherence to budgetary guidelines.
• Research and evaluate new vendors and suppliers.
• Develop and update standard operating procedures for facility improvement projects.
• Analyze feedback metrics and dashboards to identify areas for improvement.
• Collaborate with the VP of Operations on administrative tasks as needed.
• Create and update project templates.
• Update projects with incoming information, pictures, and schedules.
• Update projects with marketing as needed.
