  • Monitors and reports on facilities budget variances and recommends corrective actions.
  • Maintains inventories and records for buildings and equipment; plans repairs and replacements.
  • Coordinates vehicle and equipment maintenance with qualified service providers and maintains service records.
  • Conducts inspections to support compliance with building and safety codes, OSHA, and other regulations, including asbestos management.
  • Supports campus events with facilities logistics and operations.

Job description

GENERAL RESPONSIBILITIES

The Facilities and Grounds Manager establishes standards for and maintains the good condition and appearance of the school’s buildings, mechanical and electrical systems, life safety systems, equipment, athletic facilities and fields, grounds, irrigation systems, landscaping equipment and vehicles. This position works closely with the Director of Operations to prepare the annual budget, and oversee renovation and capital improvement projects. The safety of all students, staff, parents, and visitors is paramount in this role.

ESSENTIAL TASKS
  • Hires, schedules, and supervises the School's maintenance and grounds team. Manages daily assignments, weekly work plans, clear priorities, completion deadlines, and verification of work.
  • Manages personnel responsibilities for direct reports, including training, coaching, and counseling. Fosters a team environment through respectful communication, fair and consistent accountability, and constructive problem resolution.
  • Provides hands-on troubleshooting and maintenance support as needed while maintaining responsibility for team supervision, work planning, and timely completion.
  • Manages the CMMS work order and preventive maintenance program, ensuring accurate records, timely assignment and completion of work, and follow-up on outstanding issues.
  • Establishes a proactive campus maintenance schedule to minimize deferred maintenance and avert operational disruptions, with a focus on minimizing downtime of spaces and systems while remaining sensitive to school seasonality and operational needs. Provides timely updates on significant issues, anticipated disruptions, project progress, and deferred maintenance.
  • Coordinates and monitors contracted maintenance, custodial, landscaping, and athletic field services. Conducts routine inspections of buildings and grounds to assess condition and service quality, identifies concerns, and follows up with contractors to ensure resolution.
  • Manages building automation, HVAC controls, and operating schedules to support comfort, safety, and energy conservation. Monitors utility usage, investigates recurring system problems, and coordinates vendor support to confirm resolution.
  • Plans and supervises grounds and athletic field maintenance, including landscaping, mowing, seasonal care, irrigation systems, and natural grass and synthetic turf upkeep. Coordinates with Athletics on field preparation and scheduling, monitors playing surface conditions, and addresses maintenance and safety concerns. Obtains service quotes, develops technical requirements, and coordinates approved maintenance and repair work within established purchasing guidelines. Verifies contractor safety, quality, completion, and documentation; submits proposed scope, price, or schedule changes for approval; and supports the Director of Operations with larger solicitations.
  • Provides input for the annual facilities and grounds budget, monitors expenditures within approved allocations, and reports variances and recommended corrective actions to the Director of Operations. Reviews facilities-related invoices to verify satisfactory completion of work and consistency with approved scope and pricing before routing for approval.
  • Maintains documented building and equipment inventories, condition assessments, and maintenance histories. Recommends and tracks prioritized repairs and replacements, including estimated timing and costs, to support the Director of Operations’ capital planning.
  • Manages maintenance and grounds supply inventories, orders materials within approved purchasing guidelines, and coordinates appropriate disposal of waste and surplus materials.
  • Coordinates scheduled maintenance, required inspections, and repairs for School-owned vehicles and equipment through qualified service providers, and maintains service records. This role oversees servicing rather than performing vehicle repairs.
  • Coordinates required inspections and maintains records to support compliance with applicable building and safety codes, OSHA requirements, and other regulations, including fire protection, life safety, elevators, scissor lift, and backflow prevention. Serves as the point person for the School’s Asbestos Management Plan and follows up on identified deficiencies to ensure resolution.
  • Coordinates facilities response to storms, outages, leaks, and mechanical failures under established emergency protocols, keeping the Director of Operations informed and escalating issues as appropriate. Participates in the after-hours response rotation and provides backup guidance and assistance to urgent facilities issues, including responding on campus when necessary.
  • Collaborates with Operations and School leadership to understand program needs and maintain quality support of the School's mission, including instructional programs, food service, auxiliary programs, athletics, technology, and security. Provides facilities support for campus events, including setups and takedowns.
  • Performs other related tasks and duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES

EDUCATION AND EXPERIENCE
  • Five or more years of relevant facilities maintenance experience preferred, including at least three years supervising maintenance or related trades staff.
  • High school diploma or equivalent required; relevant technical training, trade credentials, or a bachelor’s degree preferred.
  • Working knowledge of building operations, preventive maintenance, repair planning, and scheduling.
  • Strong knowledge of building systems and maintenance practices, including HVAC, plumbing, electrical, carpentry, masonry, and roofing.
  • Working knowledge of grounds maintenance, irrigation systems, and athletic field care.
  • Ability to safely operate tools and power equipment.
  • Familiarity with applicable building codes, workplace safety requirements, and required inspections.
  • Comfortable using computers and learning software for work orders, scheduling, email, and digital record keeping.
  • Experience in a school or similar campus environment is preferred.
PHYSICAL REQUIREMENTS

Requires standing, walking, climbing ladders and stairs, lifting and carrying up to 50 pounds, bending, kneeling, crawling, reaching, pushing, and pulling. Duties include accessing rooftops and elevated areas using appropriate safety equipment and procedures. Work is performed indoors and outdoors in varying weather conditions, including temperatures below freezing and above 90 degrees. Valid Driver’s License.
