City University of New York seeks a Facilities Coordinator for Level 2 (Provisional) to study space utilization, develop space plans, and coordinate furniture/equipment installation across CCNY locations. The role interfaces with architects, engineers, and campus staff to ensure compliant and efficient spaces.
The position requires evaluating data, preparing reports, and maintaining records of space usage while supporting relocation and procurement activities within CCNY facilities.
Facilities Coordinator Level 2 (Provisional)
Studies, evaluates, and analyzes space utilization and requirements, consistent with the environmental and program needs of the CUNY location(s) being served. Performs consecutive services, develops specifications for appropriate furniture and equipment, and oversees installation. May utilize related technology and computer systems in performance of job duties.
There are two assignment levels in this title (Level 1 and Level2) representing work of varying degrees of difficulty and responsibility. All personnel perform related work.

Facilities Coordinator

The office of Campus Planning and Facilities is committed to creating college-wide efficiencies in service delivery to optimize the effective use of resources, benefiting the CCNY community through the design, operation, maintenance, and ongoing stewardship of campus buildings, grounds, and infrastructure. The Campus Planning function leads space planning, design, and assists in the implementation of the CUNY wide capital improvements program, while Facilities ensures the daily operation of campus facilities and maintains a clean, safe, and functional environment conducive to learning, teaching, and working. The Facilities Coordinator role is part of this integrated office, working in close collaboration with both the planning and operations sides to help execute all aspects of facility management as outlined in the general duties section under this job title, with the additional campus specific duties:
Serve as the primary, customer-facing contact for building occupants and departments. Intake, track, and close service requests in Archibus, run regular walkthroughs to spot issues early, and coordinate follow-up with Facilities Operations. Provide clear, proactive communications on status, timelines, outages, and resolution, and support escalation when service levels or impacts require supervisor involvement.
Reinforces compliance with CCNY/CUNY recently developed space policy and guidelines for appropriate use, occupancy, and room assignments, that emphasize standardized processes, clearer accountability, and audit-ready documentation. Monitor for non-compliance (unauthorized use, corridor storage, blocked egress, unapproved furniture/signage) and coordinate corrective actions with Campus Planning/Facilities and Public Safety as needed. Identify and initiate remediation of life-safety and accessibility issues through service requests and escalation pathways.
Support operational readiness for classes, events, and special programs (room readiness, staging, custodial coverage, basic setup). Coordinate space changes and relocations by confirming approvals, managing access/logistics (deliveries, staging, elevator reservations), and supporting turnover with punch lists and post-move issue resolution. Maintain building logs and space inventory accuracy (room use, occupants, key attributes), contribute to utilization/compliance reviews, and recommend improvements based on recurring issues and occupant feedback.
A baccalaureate degree from an accredited college or university and one (1) year of related full-time experience involving responsibilities such as: evaluation and layout of space in buildings and other structures similar to those in an educational institution, experience in projects requiring knowledge of construction needs, costs, and building standards, developing and interpreting schematic layouts, and installation of technology such as computer and telecommunications systems; OR
A four-year high school diploma or its educational equivalent and four (4) years full-time experience as described in “1” above; OR
A satisfactory equivalent of education and experience. College education may be substituted for up to three (3) years of the experience listed in “1” above on the basis that 40 semester credits from an accredited college or university substitutes for one (1) year of the required work experience. All candidates must have at least one (1) year of full-time experience as described in “1” above.
A baccalaureate degree from an accredited college and three (3) years of related full-time experience involving responsibilities such as: evaluation and layout of space in buildings and other structures similar to those in an educational institution, experience in projects requiring knowledge of construction needs, costs, and building standards, developing and interpreting schematic layouts, and installation of technology such as computer and telecommunications systems; OR
A four-year high school diploma or its educational equivalent and six (6) years full-time experience as described in “1” above; OR
A satisfactory equivalent of education and experience. College education may be substituted for up to three (3) years of experience listed in “1” above on the basis that 40 semester credits from an accredited college or university substitutes for one (1) year of the required work experience. A graduate degree in a related discipline from an accredited college or university may be substituted for two (2) years of experience. All candidates must have at least one (1) year of full-time experience as described in “1” above.
Demonstrated English language proficiency, including the ability to speak, read, write and understand English well enough to meet minimally acceptable performance standards set for job tasks.
A Motor Vehicle Driver License valid in the State of New York, may be required for certain positions. If you have moving violations, license suspension(s) or an accident record, you may be disqualified. If appointed to a position requiring a Motor Vehicle Driver License, this license must be maintained for the duration of your employment.
