This role is based on-site in Irvine, CA.

The primary responsibility of the Facilities Coordinator is to support, monitor, and coordinate a small team of multi-skilled operatives. This role involves building strong relationships with key stakeholders, landlords, managing agents, and vendors, ensuring all tasks are completed efficiently and accurately.

Responsibilities
  1. Support, monitor, and coordinate a small team of multi-skilled operatives.
  2. Develop relationships with key client stakeholders, landlords, managing agents, and vendors.
  3. Manage contractors on-site to ensure performance standards are met.
  4. Assist in procuring vendors and services as needed.
  5. Support financial processes, including managing purchase orders and financial reports.
  6. Conduct site inspections, audits, and safety procedures.
  7. Implement property risk management and industry best practices.
  8. Maintain premises in optimal condition.
  9. Support disaster recovery and business continuity plans.
  10. Follow escalation and incident reporting procedures.
  11. Assist with management reports and project support.
  12. Achieve KPIs and SLA targets.
Qualifications
  • Bachelor's degree in a related field.
  • 0-2 years of experience in administrative or operational support roles.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office, especially Excel and Outlook.
  • Excellent communication skills.
  • Ability to prioritize and manage time effectively.
  • Basic customer service understanding.
  • Ability to work independently and in teams.
  • Self-motivated with an energetic attitude.
  • Ability to work under pressure and adapt to changing needs.
  • Clean driving record required.
