Job summary

ABM Industries seeks a Facilities Coordinator to support administrative aspects of managing facility operations, maintenance, projects, and vendor relationships. You will supervise staff, coordinate daily activities, and ensure safety and readiness.

Responsibilities include space planning, vendor coordination, asset management, reporting facilities metrics, and ensuring smooth event support. High school diploma and 2+ years' experience preferred.

Qualifications

  • High school diploma required; relevant certifications or coursework in facilities management is a plus.
  • 2+ years of experience in facilities coordination or a related field.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Familiarity with facilities management software/tools.

Responsibilities

  • Assist in the coordination of daily facilities operations, including office space planning, seating arrangements, and maintenance activities.
  • Respond to facility-related inquiries and requests from employees in a timely and professional manner.
  • Liaise with external vendors, contractors, and service providers for facility maintenance, repairs, and improvements.
  • Obtain quotes, negotiate contracts, and ensure work is completed to satisfaction.
  • Support space planning initiatives, including office layout changes, furniture installations, and reconfigurations.
  • Maintain accurate records of office space allocations and occupancy.
  • Coordinate facilities logistics for company events, meetings, and special projects.
  • Ensure meeting rooms are set up with necessary equipment and supplies.
  • Assist in maintaining a safe and compliant working environment by monitoring and addressing health and safety concerns.
  • Coordinate emergency response procedures and drills.
  • Track and manage office equipment, furniture, and supplies.
  • Conduct periodic inventory checks and reorder supplies as needed.
  • Generate reports on facilities metrics, including space utilization, maintenance activities, and related expenses.
  • Provide regular updates to management on facility-related matters.
