Qualifications

  • High school certification required.
  • 3–5 years of office administration, facilities or operations.
  • Ability to develop clear business communications with proper grammar and spelling.
  • Proficient with MS Word, Excel, PowerPoint, Outlook, and Adobe.

Responsibilities

  • Manage mailroom, supplies, deliveries, and front-desk coverage.
  • Maintain cleanliness across common areas and conference rooms.
  • Coordinate with engineering, property management, and janitorial teams.
  • Review service bids and process maintenance requests.
  • Set up conference rooms and assist with AV setup.
  • Coordinate building access with security vendor.
  • Handle mail, packages, and signature deliveries.
  • Back-up front desk duties as needed.

Job description

Starting Salary Range: $42,193 - $50,632

GGRC is hiring a Facilities Coordinator who will report to the Manager/Supervisor of Operations. The role supports the Marin office, ensuring facilities are maintained and offices operate smoothly. Support includes ad hoc duties and projects.

Travel within San Francisco, San Mateo, and Marin counties may be required on an as-needed basis, with occasional travel to other locations. Reliable transportation is necessary.

Responsibilities
  • General office needs and organization, including mailroom functions, ordering supplies, responding to staff requests, processing deliveries and vendor services, and front‑desk phone coverage. Communicate facility or maintenance issues to staff.
  • Oversee and maintain office organization and cleanliness in all common areas, conference rooms, public meeting rooms, break rooms, and mailroom.
  • Work with building engineering, property management, and janitorial teams as needed.
  • Research, request, and review service or purchase bids; process and confirm facility maintenance or service requests.
  • Screen and handle workstation issues and repairs.
  • Set up and tear down conference rooms for events, meetings, and training; assist staff with AV set‑up and troubleshoot as needed.
  • Coordinate building access with the security vendor.
  • Collect, sort, and distribute incoming mail and packages; assist with outgoing mail and packaging, operating the computerized mail machine, and delivering posted mail to the post office box daily.
  • Handle signature‑required deliveries, including subpoenas and court documents.
  • Serve as a back‑up to the front desk/receptionists; handle calls and visitors professionally; book conference and public meeting rooms as needed.
  • Request or order office supplies and staples; perform receiving duties, coordinating deliveries and verifying goods against purchase orders.
  • Organize and maintain supply and storage areas; process recycling and disposal of obsolete furniture and equipment per DGS regulations.
  • Maintain copiers, printers, mail machines, scanners, and other equipment—replace toner, refill paper, and place service requests and supply orders as needed.
  • Serve as contact for all equipment maintenance and repairs.
  • Participate in special projects and additional duties as assigned.
  • Maintain office equipment and appliances, submit service requests as needed.
  • Work with IT and supervisors on new hire needs and seat assignments; maintain and distribute office floor plans.
  • Assist with print and bulk copying projects and orders, including business cards, nameplates, GGRC envelopes, department forms, and information booklets.
Requirements
  • Education: High School Certification.
  • Experience: 3‑5 years of office administration, focusing on business operations and facility management.
  • Skills: Must be available to work in‑office Monday‑Friday. Ability to develop standard business communications with proper grammar, spelling, and punctuation. Convey complex information clearly. Operate basic office equipment (scanners, copiers, faxes, phones). Proficiency with MS Word, Excel, PowerPoint, Outlook, Adobe or similar applications. Comprehension of technical perspective of facilities/equipment. Sufficient manual strength and dexterity to handle mailroom and operation duties. Use discretion and maintain confidentiality. Dependable, reliable, and resourceful. High attention to detail. Work independently and as a team. Multi‑task and prioritize. Organize proficiently. Access to reliable transportation a plus.
