Job summary

PeopleCert, a global leader in assessment and certification, is seeking a proactive Facilities Associate to join the Procurement & Facilities team in Kentucky. You will support daily operation of office facilities, coordinate maintenance, and assist with moves and workplace configurations.

Responsibilities include inspections, records management, utilities monitoring, ESG data collection, and adherence to health and safety standards.

Qualifications

  • Bachelor’s degree or diploma in Facilities Management, Engineering, Business Administration, or a related field.
  • 1–3 years of experience in Facilities Management, Administration, Technical Operations, or a similar role.
  • Basic understanding of building systems and maintenance processes.
  • Strong organisational, communication, and coordination skills.
  • Excellent command of Greek and English, both written and spoken.

Responsibilities

  • Support the daily operation of office facilities and workplace services.
  • Coordinate maintenance requests and follow up with contractors and service providers.
  • Assist with preventive and corrective maintenance activities for building systems and equipment.
  • Support office moves, workstation set-ups, and workplace reconfiguration projects.
  • Conduct routine facility inspections and report issues in a timely manner.
  • Maintain facilities records, documentation, and asset-related information.
  • Monitor utilities consumption, including electricity, water, and fleet-related data, and support reporting requirements.
  • Assist with ESG data collection, recycling, and waste management initiatives.
  • Support compliance with health, safety, and company operational standards.
  • Provide general facilities support to employees and internal stakeholders.

PeopleCert is currently looking for a proactive and detail-oriented Facilities Associate to join our Procurement & Facilities team. The Facilities Associate supports the smooth and efficient operation of the company’s facilities by coordinating maintenance activities, workplace services, office moves, and day‑to‑day operational requirements. The role contributes to maintaining a safe, functional, and well‑organized working environment through effective follow‑up with vendors, internal stakeholders, and service providers, while also supporting workplace projects and sustainability initiatives.

As a Facilities Associate, your tasks will include:

  • 1–3 years of experience in Facilities Management, Administration, Technical Operations, or a similar role.
  • Basic understanding of building systems and maintenance processes.
  • Strong organisational, communication, and coordination skills.
  • Strong attention to detail and problem‑solving ability.
  • Proficiency in Microsoft Office Suite.
  • Excellent command of Greek and English, both written and spoken.
  • Familiarity with AutoCAD for reviewing layouts and drawings will be considered an asset.
  • Familiarity with AI‑powered productivity tools (e.g. Microsoft Copilot, ChatGPT) will be considered an asset.

Working on Home Office (HO) Secure English Language Tests (SELTs)

Any person who is engaged by PeopleCert to work on the SELT service must undergo a Background Check (the results of which must be acceptable to PeopleCert and the HO) prior to commencing their SELT duties. All SELT personnel will be required to complete a declaration (provided by PeopleCert) where the existence of any criminal record and/or bankruptcy must be declared.

If working on the SELT service in the UK, background checks will include:

  • A basic or enhanced Disclosure Barring Service (DBS) check
  • Right to Work in the UK check (including nationality, identity and place of residence)
  • HO security check (Baseline Personnel Security Standard (BPSS) or Counter Terrorist Check (CTC)
  • Financial background check
  • Employment reference check.
  • If working on the SELT service anywhere in the world (outside of the UK) personnel will undergo background checks that are equivalent to those stated for the UK.

In addition, if personnel are required to speak to SELT candidates they must be appropriately skilled in English language and, where SELT services are provided anywhere in the world (outside of the UK), the official language of the relevant country.
