Job summary

Lakeshore Sport & Fitness in Chicago seeks a Facilities Administrator to oversee purchasing, inventory, and vendor coordination across clubs. You’ll ensure parts, supplies, and equipment are readily available and that facilities compliance calendars stay up to date.

You’ll serve as the central administrative hub, supporting teams with operational supply ordering and organization while maintaining consistent inventory systems and records. Proficiency with Excel and CMMS is a plus.

Qualifications

  • 3–5+ years of experience in facilities coordination, operations, property management, hospitality, or a similar environment.
  • Highly organized with strong attention to detail and follow-through.
  • Comfortable managing multiple locations, vendors, and priorities.
  • Strong communication and relationship-building skills.
  • Proficiency with Microsoft Excel and operational/project management systems.
  • Experience with CMMS or inventory management systems is a plus.
  • Valid driver’s license and ability to travel between Chicagoland locations.
  • Comfortable occasionally lifting up to 50 lbs.

Responsibilities

  • Manage purchasing and ordering of maintenance parts, tools, supplies, and equipment
  • Coordinate specialized parts and service needs with equipment manufacturers and vendors
  • Support club teams with operational supply ordering and organization
  • Create consistent inventory and storage systems across locations
  • Track inventory levels, reordering needs, and critical parts
  • Maintain facilities inspection, licensing, and compliance calendars
  • Coordinate external vendors and contractors for maintenance and special projects
  • Maintain accurate records, systems, and documentation
  • Partner closely with Club and Facilities leaders to identify needs and keep projects moving
  • Help improve the way we manage facilities purchasing, inventory, vendors, and administrative processes

Job description

The Role

We’re looking for a highly organized Facilities Administrator to help keep our clubs running smoothly behind the scenes. This role will oversee purchasing, parts and supply coordination, inventory, vendor communication, and facilities compliance across our locations.

You’ll be the central point of coordination for the administrative side of Facilities — making sure our teams have what they need, vendors are moving, supplies are organized, and important inspections and requirements stay on track.

What You’ll Do
