Job summary

Jobgether is seeking an Executive Operations Manager for the CEO Office, based in the United States. Job description

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Executive Operations Manager, CEO Office based in United States.

This senior role provides high-level operational support to a CEO while helping strengthen executive office effectiveness and governance.

You will manage complex scheduling, travel, executive preparation, and day-to-day coordination across a highly distributed organization.

The position also carries independent ownership of Board engagement, governance logistics, and ongoing communication with senior stakeholders.

Beyond executive support, you will lead special projects that improve organizational processes and strengthen strategic execution.

The role offers broad exposure to senior leadership, global partnerships, organizational priorities, and high-impact initiatives.

Success requires exceptional judgment, discretion, organization, communication, and the ability to anticipate needs before they arise.

Accountabilities
  • Manage the CEO's calendar, meetings, calls, travel, and competing priorities, ensuring time is aligned with strategic objectives and advising on opportunities to engage, delegate, or adjust priorities.
  • Coordinate complex domestic and international travel, including flights, accommodations, ground transportation, visas, entry requirements, country-team coordination, and last-minute itinerary changes.
  • Prepare briefing materials, background research, talking points, agendas, pre-reads, and other executive materials to ensure the CEO is well prepared for important internal and external engagements.
  • Track the CEO's objectives and priorities through regular OKR monitoring, time audits, and weekly schedule and priority reviews.
  • Manage expense tracking and monthly expense reporting, while coordinating communications and logistics with internal teams, external partners, and other stakeholders.
  • Own logistics, scheduling, communications, and documentation for quarterly Board and committee meetings, including agendas, presentations, meeting materials, and follow-up activities.
  • Partner with legal and senior leadership stakeholders on Board administration and governance processes, including records, resolutions, compliance requirements, composition planning, succession, and new-member onboarding.
  • Strengthen Board engagement between meetings by improving communication cadence, tracking follow-ups, and supporting deeper relationships between Board members and executive leadership.
  • Design and coordinate an alumni network that keeps former employees connected as advocates, partners, and potential supporters.
  • Conduct research and analysis for strategic initiatives and provide project management support for special projects, including stakeholder coordination, meeting materials, communications, and event logistics.
  • Plan and execute internal meetings and external convenings across domestic and international locations.
  • Apply AI tools and other technologies thoughtfully to improve efficiency, research, organization, and the quality of executive operations.
Requirements
  • Bachelor's degree combined with 5–7 years of relevant professional experience, including demonstrated experience supporting senior executives.
  • Proven ability to work independently, anticipate executive needs, exercise sound judgment, and own complex workstreams from start to finish with minimal supervision.
  • Experience supporting Boards, governance activities, senior stakeholder engagement, or similarly high-level organizational relationships is strongly preferred.
  • Exceptional written communication skills, with the ability to produce polished executive briefings, talking points, presentations, and other high-stakes materials.
  • Strong organizational and project management skills, with the ability to coordinate multiple complex initiatives and stakeholders simultaneously while maintaining close attention to detail.
  • Demonstrated discretion and sound judgment when handling confidential information, sensitive communications, and senior-level relationships.
  • Excellent interpersonal and communication skills, with the ability to work effectively across professional, cultural, and geographic boundaries, including with highly senior external counterparts.
  • Highly resourceful, proactive, motivated, and comfortable operating in a fast-paced, decentralized, and globally distributed environment.
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook; experience with Smartsheet and Box is a plus.
  • Strong proficiency with AI tools and a willingness to use them to improve productivity, research, and work quality.
  • Previous experience working remotely with decentralized teams or supporting international/country-based operations is highly desirable.
  • Strong alignment with a mission-driven organizational environment, with the ability to represent the organization professionally and build trusted relationships internally and externally.
