Trustpoint.One is seeking an Executive Legal Assistant in Newark, NJ to provide high-level support to a Partner and help keep his practice organized and running efficiently.

The ideal candidate is polished, proactive, tech-savvy, and comfortable managing calendars, travel, expense reports, client communications, and confidential information while strengthening relationships and supporting firm growth.

Responsibilities

  • Manage a busy Partner's calendar, appointments, meetings, deadlines, and priorities.
  • Coordinate travel arrangements and prepare/process expense reports.
  • Assist with time entries and documentation related to practice.
  • Maintain and update client and business development information in Salesforce.
  • Prepare, organize, and process documents and correspondence.
  • Assist with client communications and act as a polished point of contact.
  • Identify priorities and keep the Partner on track by following up on outstanding items.
  • Develop and streamline processes to improve organization and efficiency.
  • Handle day-to-day requests with flexibility and readiness to support team needs.
  • Utilize Microsoft 365 and AI tools to improve workflows.

Executive Legal Assistant

Trustpoint.One is pleased to partner with a growing law firm in Newark, New Jersey in its search for an Executive Legal Assistant to provide high-level support to a key Partner and help keep his busy practice organized and running efficiently.

This is an excellent opportunity for a polished, proactive professional who enjoys being the right hand to a busy executive, anticipates needs, brings organization to moving pieces, and is comfortable taking ownership. The ideal candidate is flexible, tech-savvy, professional with clients, and interested in growing with the firm as its Newark office continues to expand.

Location

Newark, NJ – Onsite 5 days/week

Hours

9:00 AM–5:30 PM, with some scheduling flexibility once trained

Salary

$65,000–$80,000, commensurate with experience

Position Type

Direct Hire or Temp-to-Hire

What You'll Do

Working closely with a Partner who plays a significant role in the firm's client relationships and continued growth, you will serve as a trusted resource and help manage the day-to-day details of his practice.

  • Manage a busy calendar, appointments, meetings, deadlines, and scheduling priorities.
  • Coordinate travel arrangements and prepare and process expense reports.
  • Assist with time entries and other administrative and practice-related documentation.
  • Maintain and update client and business development information in Salesforce.
  • Prepare, organize, and process documents and correspondence.
  • Assist with client communications and provide a polished, professional point of contact.
  • Keep the Partner organized and on track by proactively identifying priorities, following up on outstanding items, and anticipating next steps.
  • Help develop and streamline processes to improve organization and efficiency.
  • Handle a wide variety of day-to-day requests with flexibility and a willingness to jump in wherever needed.
  • Utilize Microsoft 365 and other technology, including emerging AI tools, to work efficiently and improve processes.
  • As the role develops, take on additional responsibilities and potentially assist with coordinating or supporting other team members and firm initiatives.
What We're Looking For
  • Prior experience supporting a Partner, attorney, executive, or other senior-level professional in a fast-paced environment. Must have prior legal assistance experience.
  • Strong organizational skills with demonstrated success creating order, managing competing priorities, and keeping others on track.
  • Polished and professional communication skills, particularly when interacting with clients and senior leadership.
  • Proactive mindset with the ability to recognize what needs to be done and take initiative without waiting for detailed instructions.
  • Excellent judgment and the ability to understand when to take ownership independently and when to ask questions.
  • Flexible, adaptable personality and willingness to adjust as priorities and the office continue to evolve.
  • Strong computer skills, including proficiency with Microsoft 365; Salesforce experience is a plus.
  • Comfortable learning and utilizing new technology and tools, including AI-enabled productivity tools.
  • Detail-oriented with strong follow-through and the ability to handle confidential information appropriately.

Key Details

Physical Requirements Must be able to perform essential duties satisfactorily with reasonable accommodations. Work is generally performed sitting, talking, hearing, and typing. This is a high-volume screen-based role, requiring constant, prolonged computer usage, including but not limited to: reviewing documents, managing visual content, and attending virtual meetings. Visual acuity required for computer use, data analysis, and extended reading. Prolonged periods of sitting at a desk and working on a computer. Frequent use of hands and fingers for typing and document handling. Occasional standing, walking, bending, and reaching. Ability to lift and carry items weighing up to 30 pounds.
