Role description:

Arcadis is looking to hire an Executive Legal Assistant. The candidate will report to the Legal Operations Manager and support the Arcadis North America Region General Counsel and the Global Business Area (GBA) Legal Director (Resilience), in addition to assisting the Arcadis North America Region Legal, Compliance, and Privacy (LCP) team. The role involves supporting staff and executives with day-to-day administrative responsibilities.

Role accountabilities:

The Legal Assistant will assist our Legal, Compliance, and Privacy (LCP) team and executives with the administration of:

  • Scheduling meetings and maintaining calendar for General Counsel and GBA Legal Director
  • Assisting with travel arrangements, preparing expense reports, and credit card statement reconciliation for executives and attorneys as needed
  • Coordinating Senior Management Team and All Hands meetings (facilities/food & beverage service)
  • Secretary to the Joint Venture Excellence Committee, including coordinating meetings, taking minutes, tracking JV’s in progress, and managing JV closure projects
  • Receiving Service of Process, researching project information, and providing data to in-house counsel or paralegal
  • Vetting Corporate Contributions and Memberships requests, and coordinating touchpoints with in-house counsel and others
  • Formatting and mailing correspondence
  • Creating and editing PowerPoint presentations
  • Drafting monthly LCP newsletters
  • Updating legal reference documentation on the intranet
  • Maintaining document libraries in Teams and SharePoint
  • Filing corporate governance documents
  • Monitoring subscriptions and assisting with bar and membership renewals
  • Organizing and managing data
  • Collaborating with other departments on information requests
  • Handling confidential material discreetly
  • Ordering office supplies and other administrative duties
Qualifications & Experience:
Required Qualifications:
  • 3+ years' experience in legal operations (law firm or corporate)
  • Excellent communication, problem-solving, and relationship management skills with high attention to detail
  • Strong organizational and time management skills to meet deadlines and manage priorities
  • Interpersonal and collaboration skills for effective teamwork
  • Ability to understand and explain complex issues
  • High integrity
  • Strong project management skills
  • Experience supporting VP+ level
  • Experience supporting remote workers
  • Desire to gain institutional knowledge of department and company processes
Preferred Qualifications:
  • Bachelor’s degree or certification
  • Experience with Microsoft Office Suite and legal software (Legal Tracker, hCue/CTAdvantage, Oracle, Litera)
  • Proximity to Highlands Ranch, Colorado, with options for remote work
