Job summary

The Boise Independent School District seeks an Executive Coordinator of Programs and Projects to provide executive-level administrative, operational, and project management support to district leadership.

In this role you will coordinate multiple programs and strategic initiatives from planning through implementation, manage timelines and budgets, and liaise with vendors, staff, and external partners while maintaining confidentiality and professional standards.

Qualifications

  • High school diploma or GED; college-level business courses preferred.
  • Five years of experience in a high-level executive administrative support role.
  • Knowledge of Idaho education is desirable.
  • Strong written and verbal communication skills.

JOB STATUS: OPEN

POSITION TITLE: Executive Coordinator of Programs and Projects

Note: Due to the urgency to fill positions for the current school year jobs may close before the noted date.

Full Time, Exempt Position

DUTIES AND RESPONSIBILITIES
Essential Duties & Responsibilities
Project Coordination
  • Provides executive-level administrative, operational, program, project management, fiscal, and communications support to organizational leadership.
  • Coordinates multiple programs, projects, and strategic initiatives from planning through implementation, including schedules, timelines, deliverables, meetings, communications, documentation, training and stakeholder engagement.
  • Exercises independent judgment to prioritize competing responsibilities, research and resolve issues, interpret and apply established policies and procedures, coordinate resources, and determine appropriate next steps.
  • Serves as a liaison among leadership, departments, employees, customers, vendors, community members, and external partners to facilitate communication, address concerns, and coordinate solutions.
  • Plans and coordinates meetings, conferences, training programs, professional development activities, and large-scale organizational events. Coordinates contracts, purchasing, budgets, expenditures, travel, payroll-related processes, and vendor relationships within assigned areas of responsibility.
  • Maintains and monitors program, project, financial, attendance, compliance, and other organizational records.
  • Identifies project and operational risks, barriers, and resource needs and works collaboratively with appropriate stakeholders to develop solutions.
  • Provides guidance and information regarding assigned programs, processes, policies and procedures.
  • Coordinates and provides direction to temporary project or event support teams as assigned.
  • Develops and maintains effective working relationships across departments and organizational levels.
  • Handles sensitive and confidential personnel, financial, organizational, and customer information with discretion and professionalism.
  • Provides professional customer service and problem resolution, including researching complex concerns and coordinating responses across departments.
  • Supports organizational leadership in implementing strategic priorities, programs, and initiatives.
  • Prepare agendas and meeting minutes.
  • Ensure quality of project implimentation.
  • Perform general bookkeeping and accounting functions for department.
  • Receive invoices and transmit with requisitions to Accounting for payment.
  • Establish productive and ongoing vendor contracts/relationships.
  • Maintain all necessary financial reports and assist in preparing annual budget.
  • Respond to requests for support or other queries from parents, principals, teachers, and patrons of the Boise School District in a timely and courteous manner.
  • Order and maintain supplies and equipment for department.
  • Prepare conference and travel arrangements for department staff.
  • Perform scheduling/calendar duties.
  • Receive and distribute mail and packages.
  • Provide general administrative support to the supervisor of the department.
  • Performs other related duties as assigned.
General
  • Actively seek out ways to improve the effectiveness of departmental operations;
  • Provide support for regular staff meetings, including agenda preparation and keeping meeting minutes;
  • Coordinate and schedule meetings or programs and arrange for physical requirements;
  • Maintain departmental records, plans, guides, departmental website, and standard operating procedures;
  • Maintain thorough and updated knowledge of all assigned rules and regulations bearing on the department;
  • Prepare trainings, and other specialized materials;
  • Communicate with stakeholders as needed;
  • Prepare and maintain confidential information and records;
  • Perform all work duties and activities in accordance with District policies, procedures, and safety practices;
