Executive Business Administrator | Office of the CEO

Overview: The Office of the CEO (OCEO) is seeking an experienced Executive Business Administrator to provide high-level administrative support in a fast-paced environment supporting the Chief of Staff and the OCEO team. This critical role involves supporting activities essential to the Office of the CEO, requiring outstanding executive maturity and constant contact with all levels of Microsoft. We seek an experienced Executive Business Administrator who can operate efficiently and proactively within an agile environment. If you have initiative, drive, flexibility, and are dedicated to producing outstanding results, we want to hear from you.

You will provide unparalleled administrative support, primarily managing calendar support for the OCEO Chiefs of Staff. This includes adjusting meetings based on business needs and communicating changes discreetly and compassionately. Candidates should demonstrate exemplary organizational, interpersonal, and communication skills, with the ability to work independently and professionally under pressure. Attention to detail and maintaining strict confidentiality are critical. Responsibilities
  1. Proactively managing complex Chiefs of Staff calendars with accuracy and timeliness.
  2. Making time management decisions on behalf of the Chiefs of Staff to meet priorities and business needs.
  3. Organizing information and resources for the OCEO in tools like OneNote and SharePoint, maintaining updated distribution lists.
  4. Representing the Chief of Staff to MS employees, executives, and external organizations.
  5. Arranging international Visa processing promptly.
  6. Reconciling and submitting expense reports for the Chief of Staffs and assisting with other OCEO member expense reports as needed.
  7. Planning and supporting team meetings, offsites, and morale events.
  8. Ensuring comprehensive onboarding for new OCEO employees, including setup and resource allocation.
  9. Procurement of goods and services, managing office supplies, and processing invoices.
  10. Prioritizing multiple projects with strong project management and problem-solving skills.
  11. Partnering and collaborating across teams and external organizations.
  12. Managing open headcount and reviewing operating budgets, identifying overages.
  13. Providing support based on business rhythms and needs.
