Foundry Product in CoreAI is seeking an experienced Executive Business Administrator to support a Vice President of Product and a Vice President of Applied Engineering.

As an Executive Business Administrator, you will effectively manage a high and time-sensitive workload, work independently, and deal with ambiguity. You will have a passion for making managers and organizations great, possess the ability to set priorities, handle multiple time-critical tasks simultaneously, and run the team in a structured way.

Qualifications

Required Qualifications:

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/ upper level management.
  • Experience using Microsoft tools such as Outlook, Office, SharePoint, etc.
  • Experience managing sensitive and confidential information with discretion and professionalism.

Other Requirements:

Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include but are not limited to the following specialized security screenings:

  • Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.

Additional/Preferred Qualifications:

  • Demonstrated proficiency in Microsoft tools such as Outlook, Office, Employee Central, iCIMS, MyExpense, My Order, and SharePoint.
  • Advanced written and verbal communication skills, attention to detail, problem-solving abilities, and time management skills.
  • Adaptable in a team environment, building and maintaining effective working relationships with a diverse group of contributors internally and externally.
  • Able to work confidentially with highly sensitive material and information with discretion.
  • Able to learn new internal systems and become comfortable with new technologies.
  • Ability to lift and move standard office equipment (i.e. computers and peripherals) up to 40lbs.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $30.29 - $50.53 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.83 - $57.88 per hour.

Responsibilities
  • Reviewing and approving team Expense Reports.
  • Partnering and cross-collaborating with AI Platform Administrative team as well as many parts of the CoreAI organization. Partnering with HR, Staffing, and Finance as well as facilities for space management.
  • Managing headcount, tracking open positions, creating requisitions, onboarding new hires, and keeping up to date with Headcount related tools. Maintaining distribution lists. Managing space allocation, anticipating possible compression issues, scheduling individual moves, and assisting with group moves for team members.
  • Team support including space management, office moves, new hire set up and onboarding and procurement of equipment and supplies for the teams you will support.
  • Purchasing equipment for new hires and refreshes. Track assets, cost centers, PC Recycled assets, and equipment transfers.
  • Managing operating budget and spend, identifying near-overages and issues. Partnering with Finance to ensure no reporting discrepancies. Acting as final approver on all team expense reports, ensuring coding accuracy.
  • Organizing and planning off-sites and morale events at the team level. Cross-collaborating, planning, and providing support for org-wide events including Town Hall Meetings, org morale events, and other events as needed.
  • Experience working with a global team and cultural awareness
