Overview

If you are a business support professional, we'd like to learn more about you. Foundry Product in CoreAI is seeking an experienced Executive Business Administrator to support a Vice President of Product and a Vice President of Applied Engineering.

As an Executive Business Administrator, you will:

  • Effectively manage a high and time-sensitive workload, work independently, and deal with ambiguity.
  • Have a passion for making managers and organizations great.
  • Possess the ability to set priorities, handle multiple time-critical tasks simultaneously, and run the team in a structured way.

Responsibilities

  • Reviewing and approving team Expense Reports.
  • Partnering and cross-collaborating with the AI Platform Administrative team and various parts of the CoreAI organization.
  • Partnering with HR, Staffing, Finance, and facilities for space management.
  • Managing headcount, tracking open positions, creating requisitions, onboarding new hires, and maintaining headcount tools.
  • Maintaining distribution lists.
  • Managing space allocation, scheduling moves, and assisting with group relocations.
  • Supporting team activities including space management, office moves, onboarding, and procurement.
  • Purchasing equipment, tracking assets, cost centers, and equipment transfers.
  • Managing operating budgets, monitoring spend, and partnering with Finance to ensure accuracy.
  • Approving team expense reports, ensuring proper coding.
  • Organizing and planning off-sites, morale events, and supporting org-wide events like Town Hall Meetings.
  • Experience working with a global team and cultural awareness.
