About The Role

The Executive Assistant provides administrative support by conducting research, handling information requests, and performing responsibilities that require knowledge of policies, procedures, and general operations. This includes clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. The role involves developing specific goals and plans to prioritize, organize, and accomplish work.

What You'll Do
  • Assist the President, Vice President, or Director in administrative functions.
  • Greet visitors and determine access permissions.
  • Handle complex and sensitive situations, resolve conflicts involving clerical and administrative functions.
  • Coordinate and monitor special projects to meet goals and targets.
  • Follow up on issues, schedule appointments, coordinate meetings, and maintain the supervisor’s agenda.
  • Conduct research, prepare data, and draft papers for executives, committees, and boards.
  • Prepare correspondence in English and Spanish.
  • File and retrieve documents, records, and reports.
  • Review and proofread emails, letters, memos, and reports to determine significance and plan distribution.
  • Manage mailing, emails, and calls, most in English.
  • Prepare requisitions for materials, services, and resources; handle expense reimbursements.
  • Perform general office duties like ordering supplies, maintaining records, and basic bookkeeping.
  • Make travel arrangements for executives.
What You'll Bring

Bachelor’s Degree in Business Administration or related field; 1-3 years of relevant experience.
