About the Role

Provide administrative support by conducting research, handling information requests, and performing independent administrative responsibilities that require knowledge of policies, procedures, and general operations. Perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Develop specific goals and plans to prioritize, organize, and accomplish work.

What You'll Do
  • Assist the President, Vice President, or Director with administrative functions.
  • Greet visitors and determine access permissions.
  • Handle complex and sensitive situations, resolving conflicts involving clerical and administrative tasks.
  • Coordinate and monitor special projects to meet goals and targets.
  • Follow up on outstanding issues, schedule appointments, and maintain the supervisor’s agenda.
  • Conduct research, complete data, and prepare papers for executives, committees, and boards.
  • Prepare correspondence in English and Spanish.
  • File and retrieve corporate documents, records, and reports.
  • Read, analyze, and proofread emails, letters, memos, and reports to determine significance and distribution.
  • Manage mailing, emails, and phone calls, primarily in English.
  • Prepare requisitions for materials, services, equipment, and HR; handle expense reimbursements.
  • Perform general office duties such as ordering supplies, maintaining records, and basic bookkeeping.
  • Make travel arrangements for executives.
What You’ll Bring

Bachelor’s Degree in Business Administration or related field; 1-3 years of relevant experience or training.
