Job description

Frick’s Quality Meats is a fifth-generation, family-owned food manufacturer based in Washington, Missouri. We are looking for a highly trusted, organized, and proactive Executive Assistant who can help the President operate with clarity, focus, and follow-through while also providing meaningful support to the Operations Leader and coordinating travel for senior executives.

This role is designed for someone who enjoys being close to the business, understands the importance of confidentiality and judgment, and can bring structure to a fast-moving leadership environment. The right person will be practical, service-minded, detail-oriented, and comfortable working in a company culture built on ownership, relationships, accountability, and doing things the right way.

The Executive Assistant will serve primarily as a partner to the President, helping manage time, priorities, communication, meetings, follow-up, and preparation. This person will also support the Operations Leader with scheduling, meeting coordination, communication support, and follow-through on key operational priorities, while partnering with Marketing and leadership on event coordination, sourcing, logistics, and execution for important company meetings and customer-facing experiences.

Essential Functions
President Support
  • Manage and protect the President’s calendar with strong prioritization, discretion, and awareness of business needs.
  • Prepare the President for meetings with agendas, background information, materials, reminders, and clearly organized next steps.
  • Track commitments, requests, and follow-ups from meetings, emails, calls, and conversations so important items do not fall through the cracks.
  • Help organize weekly priorities, leadership touchpoints, board-related preparation, customer/vendor meetings, and internal communication needs.
  • Draft, proofread, organize, and send correspondence as needed while maintaining an appropriate level of professionalism and warmth.
Operations Leader Support
  • Assist the Operations Leader with calendar coordination, meeting scheduling, reminders, and communication organization.
  • Support recurring operational meetings by helping with agendas, notes, action items, and follow-up tracking.
  • Help coordinate information flow between operations and other leadership team members when needed.
  • Provide logistical support for operational priorities, plant visits, leadership meetings, and special projects.
Senior Executive Travel Coordination
  • Coordinate business travel for the President, Operations Leader, and other senior executives as needed.
  • Book flights, lodging, transportation, meeting logistics, reservations, and related travel details with accuracy and cost awareness.
  • Create clear travel itineraries and ensure executives have the information, confirmations, documents, and materials they need.
  • Proactively troubleshoot travel changes, delays, cancellations, and last-minute adjustments.
  • Track and organize travel-related expenses and documentation.
Event Coordination Support
  • Work in tandem with Marketing and leadership to plan, source, coordinate, and execute company events, customer visits, board meetings, leadership meetings, and other important gatherings.
  • Coordinate meal planning, catering, product needs, room setup, materials, signage, gifts, reservations, and vendor communication for events such as board meeting meals, customer visits, executive meetings, and offsites.
  • Help source vendors, venues, supplies, food, branded materials, and other event needs while balancing quality, budget, timing, and Frick’s hospitality standards.
  • Partner with Marketing to ensure events feel organized, thoughtful, on-brand, and welcoming for customers, board members, vendors, employees, and guests.
  • Own event checklists, timelines, day‑of logistics, follow‑up details, and post‑event wrap‑up items to ensure smooth execution from start to finish.
Leadership Coordination & Follow-Through
  • Keep track of key leadership commitments, timelines, decisions, and open items.
  • Help organize internal meetings, leadership team touchpoints, board preparation materials, offsites, and company events.
  • Bring structure to evolving priorities by organizing notes, timelines, materials, and next steps.
  • Communicate with internal and external stakeholders in a way that is professional, clear, respectful, and aligned with Frick’s culture.
  • Support confidentiality and good judgment in matters involving leadership, family ownership, employees, customers, vendors, and strategic business priorities.

Supervisory Responsibilities

This position does not have supervisory responsibilities.

Position Type and Expected Hours of Work

This role is primarily based at Frick’s Quality Meats in Washington, Missouri. Because this position supports senior leaders and a hands‑on manufacturing business, regular on‑site presence is expected, with flexibility based on business needs, executive schedules, and travel coordination requirements.

Travel

Travel is not regularly expected but may occasionally be required. Employees are reimbursed for pre‑approved company expenses and gas in their personal vehicles.

Education and Experience
Required
  • 5+ years of experience supporting senior executives, business owners, presidents, CEOs, or comparable leadership roles.
  • Strong calendar management, scheduling, travel coordination, and administrative follow‑through skills.
  • Excellent organization, attention to detail, and ability to manage multiple priorities in a fast‑paced environment.
  • High level of discretion, confidentiality, judgment, and professionalism.
  • Strong written and verbal communication skills with a practical, friendly, and service‑minded style.
  • Comfort working with Microsoft Outlook, Teams, Word, Excel, PowerPoint, and task or project tracking tools.
  • Ability to work primarily on‑site in Washington, Missouri, with flexibility based on executive and business needs.
Preferred
  • Experience supporting leaders in manufacturing, food production, family‑owned business, agriculture, CPG, distribution, or another operational environment.
  • Experience coordinating executive travel and logistics for multiple leaders.
  • Comfort supporting leadership meetings, board preparation, customer visits, vendor meetings, marketing events, hospitality logistics, and cross‑functional initiatives.
  • Associate or bachelor’s degree preferred, or equivalent experience.
Work Environment and Physical Demands
  • The Executive Assistant will conduct their daily business on‑site. Duties performed will be in both a typical office setting as well as on the production floor. At times this will include working in environments ranging from 20-45 degrees and in a temperature‑controlled office. The production floor also exposes employees to loud noises and bright lighting.
  • The Executive Assistant must be able to move about the plant freely, including but not limited to: bending, twisting, sitting, crawling, climbing, stepping over, and lifting up to 50lbs repeatedly in a cold, wet environment.
