Executive Assistant to the Founder & CEO

Aevum is revolutionizing autonomous logistics and aerospace. As we scale, we are seeking a high-performance Executive Assistant (EA) to support our Founder & CEO, Jay Skylus. This role is not just administrative—it is a strategic operations role that ensures the CEO operates at maximum efficiency while executing high-impact business objectives.

The ideal candidate is an elite-level operator—highly resourceful, proactive, and sharp under pressure. You must be an exceptional communicator, a strategic problem solver, and an expert in prioritization and execution. You will serve as a trusted extension of the CEO, anticipating needs, protecting his time, and ensuring seamless execution of company priorities.

The company will provide all equipment, iPhone, laptop, etc. US defense industry experience is preferred.

Key Responsibilities
  • Learn the business inside and out to become a trusted operational leader within the Office of the CEO.
  • Manage high-level strategic priorities and facilitate execution across executive functions.
  • Act as a confidential advisor to the CEO on key initiatives.
  • Work closely with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Act as a 'barometer,' having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate CEO’s needs in advance of meetings, conferences, etc.
  • Own the CEO's schedule and calendar - relentlessly optimize his time for maximum impact.
  • Prioritize, organize and track key initiatives, ensuring follow-through.
  • Serve as the CEO's gatekeeper and filter, ensuring only the most important matters reach his attention.
  • Act as the primary liaison between the CEO and internal/external stakeholders, including VIPs, board members, investors, and government officials.
  • Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s preferences and company policies and procedures.
  • Ensure the CEO is fully briefed before all meetings, engagements, and high-impact decisions.
  • Maintain a strong executive presence as a direct representative of the CEO.
  • Handle classified or highly sensitive information with absolute discretion and integrity.
  • Identify and mitigate potential risks, operational challenges, and reputational concerns before they arise.
  • Coordinate all travel, accommodations, agendas, and logistics - domestically and internationally.
  • Travel with the CEO as needed, ensuring seamless execution of all engagements.
  • Research, compile, organize, graph, and accurately portray information.
  • Plan and coordinate Executive Team meetings, retreats, staff meetings, and events, as assigned.
  • Willingness to fulfill any other responsibilities and tasks for the CEO, as requested.
Required Qualifications
  • 5-7+ years of experience supporting high profile C-level executives in fast-paced, high stakes environments (aerospace, defense, tech, finance).
  • Exceptional discretion in handling confidential and proprietary information.
  • Exceptional professionalism.
  • Security clearance or ability to obtain a security clearance.
  • Expert time management - anticipates needs, solves problems proactively, and removes obstacles.
  • Strong executive presence - capable of handling VIP, investor, and board interactions with confidence.
  • Proficiency in Microsoft Office, Google Workspace, and workflow/project management tools like Wrike.
  • Flexibility - available (nights and weekends, as needed), including occasional evenings/weekends for critical matters.
  • Bachelor's degree in Business Administration, Public Relations, Communications, or related field.
  • Exceptional organizational skills and impeccable attention to detail.
  • Ability to complete high volume scheduling, event coordination, tasks, and projects.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Ability to work in an in-office setting.
Preferred Qualifications
  • Experience in startups, defense, aerospace, technology, or regulated industries is highly preferred.
Compensation Range

$90,000 to $120,000 per year, considered for RSU, ESO, and bonuses.

  • This position is an outstanding opportunity for a highly-motivated assistant to assume a pivotal role for a fast-growing company and a highly-respected CEO.

Travel

Up to 25% travel required for this position.

To conform to U.S. Government space technology export regulations, including the International Traffic in Arms Regulations (ITAR) you must be a U.S. citizen, lawful permanent resident of the U.S., protected individual as defined by 8 U.S.C. 1324b(a)(3), or eligible to obtain the required authorizations from the U.S. Department of State.
